We are seeking an experienced Office Manager to oversee daily operations at our office. The ideal candidate will be responsible for managing administrative tasks, supervising feelt management, outsourced It functions and ensuring efficient office procedures.
Duties:
· Manage contracts and price negotiations with office vendors and service providers.
· Process and Reconcile credit card management system (Amex and Capital One).
· Maintain office conditions and arrange repairs or renovations when necessary.
· Assist with onboarding and off boarding of employees
(credit cards, phones, computers, trucks, key fobs).
· Provide general support to staff inquiries and issues.
· Order supplies.
· Approve and reconcile invoices.
· Process GL Claims.
· Process donations.
· Facilitate customer/client holiday gifts.
· Report to accounting of overhead EZ Pass usage, business gifts and donations.
IT
· Set up workstations and assist IT consultant getting computers set up.
· Implement and assist with IT projects.
· Purchase, track and maintain computers, software, and licenses.
· Work with IT consultants on server issues and acquisitions.
· Assist employees with IT issues.
Fleet
· Assist in the procurement and disposition of vehicles.
· Schedule uplift of vehicles (GPS, shelving, locks, lettering).
· Setup alerts so managers can monitor vehicles.
· Maintain Enterprise Fleet Management, Drivers Alert, Lens, and IntelliShift GPS Systems.
· Obtain and track EZ Passes
· Set up maintenances and Recalls.
· Process Auto Claims.
· Assign vehicles and maintain vehicle reports.
· Process Violations
Experience:
- Proven experience as an Office Manager or similar role.
- Knowledge of medical office management practices is a plus.
- Strong team management and supervisory skills.
- Proficient in front desk operations, payroll, schedule management, and general administrative tasks.
- Excellent communication skills to interact effectively with staff and clients.
