After School Matters is Hiring a Payroll Administrator Near Chicago, IL

After School Matters is a Chicago-based nonprofit organization that annually offers after-school and summer programs to nearly 19,000 Chicago high school teens to explore and develop their talents while gaining critical skills that will set them up for success in college and beyond.

Founded more than 30 years ago, After School Matters has engaged more than 400,000 Chicago teens and is the nations largest and most successful provider of after-school and summer programs for high school teens. No other organization offers programs to high school students at the scale and quality that we do.

We offer paid apprenticeships led by professionals in the fields of arts, communications and leadership, sports, and STEM (Science, Technology, Engineering, and Math). Our nationally respected youth development model has been replicated in cities across the country and earned us the City Livability Award from the U.S. Conference of Mayors. Programs take place at community locations throughout the city, including three ASM buildings: downtown at Gallery 37 Center for the Arts, the Michael and Karyn Lutz Center in Belmont Cragin, and the Pullman community at Gately Park.

Currently, After School Matters annual operating budget is approximately $35M and employs approximately 500 staff across the organization.

Summary of Position:

The Payroll Administrator is responsible for paying staff and instructors accurately, as well as paying some independent contractors. The Payroll Administrator also assists with all functions related to payroll administration, including answering timekeeping and payroll-related questions from all teams, training users to understand and use the payroll system effectively, preparing payroll schedules, and other compliance-related tasks.

Major Duties and Responsibilities:

Payroll processing:

  • Use the ADP WorkforceNow Payroll platform to prepare, process, and audit payrolls for 100 staff and 400 part-time instructors
  • Verify timesheet data
  • Enroll Instructors into ADP based on data from HR and notify instructors of their enrollment
  • Process garnishments, wage assignments, earnings adjustments, and benefits deductions
  • Collaborate with the HR department to ensure benefits and accruals are properly managed
  • Maintain accurate payroll system data, including tax tables and accruals, home departments and supervisors
  • Process manual checks, replacement checks, and payroll corrections; investigate and resolve payroll discrepancies
  • Identify areas for process improvement and propose alternatives

Customer service:

  • Provide training, guidance documents, and support to help staff use time & attendance features
  • Collaborate with various departments for all aspects of the payroll process, such as ensuring that timesheets are submitted and time off is approved on schedule
  • Support employees in navigating payment method options and check distribution

Reporting and recordkeeping:

  • Manage the allocations and classifications for payroll and ensure the data is accurately transferred to the Accounting and Financial Planning & Analysis teams
  • Complete quarter-end and year-end processes for each payroll
  • Manage the distribute W-2s and 1099s
  • Assist in gathering data for government grants billing and as requested by external auditors
  • Other duties as assigned

Knowledge, Skills and Abilities:

  • Intermediate knowledge of Microsoft Office Word and Excel including sorting, filtering, conditional formatting, and vlookup
  • Strong working knowledge of payroll-related requirements and regulations
  • Strong problem-solving skills and the ability to collaborate across teams to address challenges
  • Ability to compile, enter, audit and verify data
  • Highly detailed oriented and commitment to accuracy
  • Knowledge of ADPs WorkforceNow preferred
  • Strong orientation to customer service in a fast-paced, high-energy environment
  • Ability to work independently and take ownership of projects

Qualifications:

  • Bachelors degree required
  • 5 years of payroll processing experience required

Additional Requirements:

Staff are required to provide proof of COVID-19 Vaccination or have an approved medical or sincerely held religious beliefs exemption prior to starting employment. If a medical or sincerely held religious belief exemption is approved, weekly Polymerase Chain Reaction (PCR) testing is required part of any reasonable accommodation.
