Advancing Communities Everywhere is Hiring an Office Administrator Near Norfolk, VA

Advancing Communities Everywhere is looking for an organized and self-motivated Office Quality Assurance and Administrator who will be responsible for providing administrative support to our office personnel, and Clerical Duties for Community Based Mental Health Services. The office administrator’s role will include working closely with our leadership team by handling clerical duties, coordinating calendars, and organizing psychiatric meetings and Quality Care of file compliance and organization.

Duties:

The activities associated with the primary responsibility of this position are:

  • Welcoming visitors, answering the Office phone, and directing them to the relevant office/personnel.
  • Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including official correspondence, memos, resumes, and presentations.
  • Maintaining general office Client files for Qaulity Assurance for Crisis Services, Skill-Building, In home, and OP Counseling, including job files, vendor files, and other files related to the company’s operations.
  • Quality Assurance Management, and correspondence with QMHPs for Chart Compliance
  • Organized, Displays excellent time management, and problem solving skills for Daily Operations, and utilizing chart management systems such as LAURIS, Note Counselor, Therapy Notes, etc.
  • Assist program team with other duties as assigned by the HR Manager and Program Manager.

Education and Experience:

  • High school diploma or a Bachelor’s degree in business, administration, or a related field.
  • 2 or more years’ office administration experience.
  • Past Experience working in Human Services, Counseling (preferred, but not required)
  • Holds a Virginia Board of Counseling certification as a QMHP-Type (preferred but not required)
  • Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook, and Access).
  • Comfortable handling confidential information.
  • Multi-tasking and time-management skills, with the ability to prioritize tasks.

  • CPR (Adult and Child) Certification - preferred
  • Therapeutic Options of Virginia (TOVA) Certification - preferred
