Today, the museum hosts more than half a million visitors each year and reaches millions more through youth STEM programs, neighborhood skywatching events, online citizen science, and other outreach projects. With the Adler’s support, people of all ages, backgrounds, and abilities gain the confidence to explore their universe together and return to their communities ready to think critically and creatively about any challenge that comes their way.

The Position
The Adler Planetarium is seeking an Event Operations Supervisor to join our dynamic team located on Chicago's Museum Campus. The Event Operations Supervisor is responsible for coordinating the Event Operations Team, assisting in the execution of events, and will also be cross-trained to take a similar role as a supervisor or flex team member of the Public Safety Team. This individual will also be responsible for:
  • Event Preparation and On-Site Event Coordination
  • Supervising all Event Operation Associates, Cleaning Associates, Public Safety Representatives, and Security Representatives as needed.
  • Functioning as a liaison between different departments, responsible for addressing event needs through stationary engineers, theater technicians, and exhibit technicians
  • Assisting in training and onboarding of Event Operations Associates. Including customer service, coat check procedures, event setup and takedown procedures, and any other related functions that are needed to serve guests effectively.
  • Responding in real-time to guest inquiries and last-minute changes, and making operational and customer service decisions to ensure a high-quality guest experience. De-escalating conflicts as needed.
  • Ensuring smooth operations by monitoring vendor load in/out. Ensuring that vendor guidelines are followed. Coordinating timely event setups and resets by Adler events staff.
  • Communicating detailed post-event information to the Event Operations Manager. This includes information on crowd count, safety incidents, feedback from guests, and any issues that arose during the event.
  • Overseeing the event schedule to ensure the event timeline remains accurate in order for all department staff to stay within scheduled hours.
  • Troubleshooting any event details – street closures due to Museum Campus events, Standard parking issues, late-night guest transportation issues.
  • During the event off-season, assisting the Public Safety Manager and Public Safety Supervisor in the daily operations of the Public Safety Team.
  • Assisting in the creation of daily rosters, managing daily assignment of rounds, and ensuring timely transition of posts. Overseeing reporting and round checklists, ensuring proper procedures and protocols are followed.
  • Ensuring safety and helping to control access within the Adler building and grounds by monitoring entry points, corridors, galleries, and cafes during assigned shifts.
  • Providing exceptional safety and customer service while troubleshooting any concerns that may arise from guests and staff members.
  • Responding to and investigating all emergencies, including medical emergencies and any incident involving the safety of staff, guests, assets, or property.

FT The Compensation & Benefits
Base Pay: range: $20.83 - $21.67/hr

The Person
We are seeking an Events Operations Supervisor to assist in the execution of out-of-this-world private events. With an award-winning view of Chicago’s skyline, the Adler Planetarium is a popular destination for weddings as well as corporate and social events. This position requires attention to detail, a strong focus on facility and guest safety, the ability to multitask, and strong communication skills.
Required Qualifications:
  • High School Diploma or GED
  • One to two years of experience and previous success in a hospitality setting, including but not limited to previous positions held in special events, retail, restaurant, or hotel industries.
  • Demonstrated ability to provide excellent customer service in a professional, fast-paced environment.
  • Proficient in following written and verbal instructions.
  • Strong communication & customer service skills.
  • Available to work varying hours, mainly evenings and weekends between 3 p.m. and 3 a.m. Availability on Friday and Saturday nights is required.
  • CPR and AED certified or obtain certification through the Adler training program.
  • Demonstrated ability to work under pressure and take charge in escalating situations.
  • Ability to remain professional in all interactions with visitors and colleagues, regardless of circumstance.
  • Experience using computer software (email, word processing, spreadsheet, presentation program, video conferencing).
Preferred Qualifications:
  • Previous lead or supervisory experience in Event Management or Public Safety.
  • Basic operational knowledge of security operations.
  • Proficient in Google Suite.
