College of Nursing and Public Health
JOB SUMMARY:
The Director of Administrative Affairs works closely with the Dean of the College of Nursing and Public Health on all operational functions of the college and financial development, collaborates with Dean to build strategies to enhance the college's vision/mission and has broad oversight of the day to day operations of the College.
REPORTS TO: Dean
RESPONSIBILTIES & DUTIES:
  • Oversee daily operations of the college to support the vision and mission of the College of Nursing and Public Health.
  • Develop and manage College of Nursing and Public Health budget: Ensure compliance with University policies and standards including implementing practices to improve efficiency and effectiveness of the operational practices of the College of Nursing and Public Health; Design and execute complex financial data analyses and forecasts.
  • Serve as liaison between the college and the Financial Operations office.
  • Provide all budget information for self-studies, state and national reports.
  • Manage all procurement transactions within the college.
  • Review and update all student fees associated with the CNPH programs.
  • Review and approve all CNPH faculty workloads every semester.
  • Calculate and input all workload adjustments for part-time and full-time faculty.
  • Provide faculty and faculty workload data for state and national surveys.
  • Point of Contact with HRSA and other university NFLPs for all verifications of faculty employment.
  • Support faculty grant budgets: Adelphi faculty development grants; Outside association/federal grants, including intercollege grants.
  • Support revenue report for annual application/report for NFLP grant for doctoral students.
  • Administer doctoral dissertation publication uploads on ProQuest.
  • Pinning coordination - 3 semesters: Call for nominations for faculty for award and scholarship recipients; Organize nominations for Deans' review and decisions; Call for nominations from students for the Justina Eisenhauer Mickiewicz Award; Process names, awards and recipients for program; Budget, contractual and purchasing support (contracts, purchase orders) for all vendors involved: set-up, pins, lamps, plaques, etc.; Coordinate award portion of ceremonies: presenters, plaques, checks, congratulatory letters, and certificates.
  • Process travel (hotel & flight), registrations and reimbursements for all CNPH faculty.
  • Process payroll for all proctors and lab/simulation part-time faculty help.
  • Assist with the coordination and supervision of articulating documents with outside agencies for all programs in CNPH.
  • Process and maintain affiliation agreements with other universities for visiting student practicums.
  • Process all vendor agreements and purchase orders for speakers, outside maintenance, consultants, vendor services, etc.
  • Supervise the application process, selecting and awarding of College of Nursing and Public Health endowed scholarships.
  • Supervise the administrative assistant to the Director of Administrative Affairs: monitor work flow, assignments, performance, etc.
  • Monitor hourly employees, hourly budget and approve their bi-weekly hours.
  • Provide support for the hiring, tracking and support for graduate assistants.
  • Generate reports and applications for outside agency scholarships grants and pursues new ones.
  • Perform other job related duties as requested by the Dean.
REQUIREMENTS (Knowledge, Skills and Abilities):
  • Possess supervisory experience in higher education, daily managerial and problem-solving skills; mathematical and analytical proficiency; and diversity to multi-task.
  • Demonstrate strong interpersonal and organizational skills.
  • Ability to prioritize workload according to volume, urgency, etc.
  • Superior communication abilities, working with diverse populations, i.e., students, staff, and administration.
  • Ability to work both independently and as part of a highly integrated team.
  • Excellent communication, organization and computer skills.
  • Knowledge of Windows, Microsoft Office, Google, and Administrative Systems.
EDUCATIONAL/EXPERIENCE REQUIREMENTS:
  • Master's degree in business or communications is required.
  • Minimum three to five years of previous administrative/supervisory experience.
