Job Summary
Urban Sprouts is looking for an administrative office support person to support the organization and leadership team. This is a salaried position, five days a week, 8:30 am to 5:30 pm full time. The support specialist responsibilities will include maintaining day to day operations, facilities management, receipt and bookkeeping, and much more. This individual will work closely with our COO and CEO in administrative capacity.

Daily Operations
· Assist to manage facilities and general day to day operations.
o Provide leadership, organization, and coordination of the center’s day to day operations
· Maintain, at all times, high quality childcare standards based on developmentally appropriate practices.
· Assist to maintain the upkeep of the school, playgrounds, and classrooms.
· Run the daily pick up table
· Answering phones after receptionist leaves or when receptionist is out
· Be prepared to support classrooms as needed
· Oversee accepting of deliveries: open packages and putting items away/handing out to classrooms (working with receptionist or floaters to complete)
· Add events/maintenance to calendar and attach supervisors
Overal Operations
· Maintenance/repair scheduling and then showing them the problem and walking them through the building
· Supervision/Communication with Cleaning Crew
· Supply Orders
o Diapers and wipes
o Office supplies (recycling used ink to Quill for some money back)
o Classroom supplies
o Maintenance and Cleaning supplies
· Organizing and maintaining office files in conjunction with receptionist (oversee)
Enrollment
· Responding to emails from the website
· Respond to waiting list request emails and add them into SmartCare’s leads
· Maintain Enrollment Records
o Files SmartCare Tadpoles NFG
o Monthly checks
· Assist with coordinating new enrollments
o Scheduling playdates
CACFP
· Input monthly totals from receptionist
· Invoicing monthly-direct report to Jill and Ellicia totals before submitting
· Update and Maintain all files and compliance reporting
· Food ordering with performance, Sams and Dierbergs
· Communications with Performance on ordering needs in partnership with Kitchen
· Working with kitchen assistant on inventory/stocking
· Bi-Weekly Menu Update on our website (Every other Friday)
· Allergy/Special Diets list for classrooms and the kitchen
· Working with Audrey and Jill to develop menus
Staff
• Employee birthday and anniversary calendar maintenance (give out cards and gift cards)
• Maintain Employee Records
o Files MO OPEN Tadpoles Binders
o Monthly checks
• Monitor, verify and correct employee time in Tadpoles
• Communications with Staff
o Week Ahead
o Reminders
• Request off forms filing once they've been processed by Andrea or Jill
• Keeping blank employment folders ready
• Assisting in interviewing and hiring
• Assisting teachers apply and qualify for TEACH scholarships
• Helping teachers through the process of obtaining CDA’s
• Reminders and communications for deadlines
• Communications
Subsidy
• Kinderconnect attendance Monthly state billing
• Subsidy Check Ins Monitoring of Subsidy Weekly
o Update supervisor weekly
o Assist families with reapplying/applying if needed
Youth In Need
• YIN Monthly Attendance reporting (due by the 5th of every month)
o Send State Subsidy remittance letter by the 5th of every month
o Monthly Volunteer Sign In Sheets and In Kind donations sent to YIN (due by the 5th of every month)
• ChildPlus
• Assisting with maintain compliance with EHS/HS policies
Families
· Send out communication to families on events and closures
· Parent Resources
Qualifications and Skills
  • 3 years experience in admin role
  • Experience in non profit world or early childhood preferred
  • Bachelor's degree in related field
  • Experience with Microsoft, especially Excel, Outlook, Google and Word required.
