Reporting to: Site Lead / Area Manager / Area Director
MISSION:
The mission of the Center Coordinator at ACES is to elevate the standards in the treatment of autism by optimizing center operations resulting in superior client service and team member experience and helping their center grow so even more clients can experience ACES’ superior clinical model.
SUMMARY:
The Center Coordinator (CC) is the on-the-ground operations expert that ensures service delivery in an ACES center runs smoothly. They are crucial to a location’s success and performance, playing a major orchestrating role in matching client demand to clinician supply. The CC is a cross-functional influencer who knows how to localize many of ACES’ standardized processes from multiple departments like Client Care, Scheduling, Training, and more. They are passionate about maximizing the potential of their location, and they are focused on growth and superior client service. The CC prides themselves on not letting things slip through the cracks while they hold others accountable for moving things forward. They are equally solution and detail-oriented with a calm ability to make progress. They ask hard questions and seek clarity in situations of ambiguity. The Center Coordinator is considered by others to be an ACES expert that “makes it happen”.

Job Responsibilities

RESPONSIBILITIES:
Essential job responsibilities of the Center Coordinator include, but are not limited to:
  • Act as a steward of ACES customer service, quality standards, and culture.
  • Conduct initial intake, registration, and center tours for prospective and new clients.
  • Provide client support in the form of personal intervention and assistance to help secure benefits coverage for ACES services.
  • Handle conversations with caregivers regarding common service inquiries and escalate concerns as needed.
  • Manage the center’s full client roster.
  • Highlight ACES’ physical space and clinical excellence in prospective client tours.
  • Understand and optimize utilization management for current clients.
  • Deliver quality customer service to new clients, and work with other departments to staff new clients quickly and appropriately.
  • Provide key input on hiring needs based on understanding of the new client pipeline and full client roster.
  • Focus on center growth.
  • Work in partnership with supporting Outreach Executive to generate interest in ACES services.
  • Host in-clinic/near-clinic events (open houses, hiring events, community outreach).
  • Proactively elevate opportunities to serve more clients in center through optimization.
  • Optimize ACES’ clinical talent.
  • Attend CTCs and provide insights on client and clinical matching.
  • Set ACES new hires up for success within the center, act as a supportive, friendly contact within new hire Teams chats.
  • Help ACES clinicians maximize their schedules to deliver on their desired hours.
  • Monitor timestamps, rescheduling efforts, and retention data, mining for insights on needed changes.
  • Ensure accurate data regarding the center's performance is collected and tracked.
  • Review ACES’ practice management software for accuracy and compliance with payor requirements.
  • Manage the Center Assistant and ensure the center is reflective of ACES high quality and customer focus.
  • Act in the Center Assistant capacity if the CA is unavailable.

Required Skills and Qualifications

QUALIFICATIONS:
  • Minimum of 4 years of experience in a professional work setting.
  • Background in customer service is preferred.
  • Ability to work independently with only general supervision.
  • Proficiency with MS Office, word processing, spreadsheets, Internet software, E-mail, Database software, project management software.
  • Highly organized.
  • Professional, positive attitude and appearance.
  • Excellent communication skills.
PHYSICAL REQUIREMENTS:
  • Ability to exert up to 15 pounds of force and lift/move up to 15 pounds.
  • May include, without limitation, the following physical demands: sitting, typing and viewing a screen(s) for long periods of time.
