Job Description : As a Payroll Specialist, you will play a crucial role in ensuring accurate and timely processing of payroll for our organization.

Your primary responsibilities will revolve around data entry, utilizing Excel and Word, and ensuring compliance with relevant regulations.

Key Responsibilities :

Data Entry :

  • Accurately inputting employee data, including hours worked, deductions, and bonuses, into the payroll system.
  • Ensuring the integrity of payroll data through meticulous verification and validation processes.
  • Resolving discrepancies or inconsistencies in payroll records promptly and efficiently.

Payroll Processing :

  • Collaborating with HR and finance departments to gather necessary payroll information.
  • Calculating wages, deductions, and withholdings accurately, including taxes and benefits.

Excel Proficiency :

  • Utilizing Excel to manipulate, analyze, and interpret payroll data effectively.
  • Creating and maintaining spreadsheets for tracking payroll information, such as employee hours and compensation.
  • Generating reports and summaries using Excel functions and formulas as required.

Word Processing :

  • Drafting and editing payroll-related documents, such as employment contracts, salary adjustment letters, and payroll reports using Microsoft Word.
  • Ensuring consistency and accuracy in written communications related to payroll matters.

Compliance and Record-Keeping :

  • Staying updated on relevant federal, state, and local payroll regulations and ensuring compliance with legal requirements.
  • Maintaining comprehensive and organized payroll records, including employee files and payroll reports.
  • Assisting with audits and providing necessary documentation as requested.

Communication and Collaboration :

  • Collaborating with team members across departments to resolve payroll-related inquiries and issues.
  • Providing support and guidance to employees regarding payroll matters, including inquiries about pay stubs, taxes, and benefits.
  • Communicating effectively with external stakeholders, such as tax authorities and financial institutions, as needed.

Qualifications :

  • Proven experience as a Payroll Specialist or similar role.
  • Proficiency in data entry, Excel, and Word.
  • Strong understanding of payroll principles, regulations, and compliance requirements.
  • Excellent attention to detail and accuracy.
  • Ability to handle confidential information with integrity.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Experience with payroll software (e.g., ADP, Paychex, QuickBooks etc).
  • Familiarity with HRIS (Human Resources Information Systems) or ERP (Enterprise Resource Planning) software.
