We are seeking a highly organized and detail-oriented Office Assistant - Vendor Coordinator to join our team. As a Vendor Manager, you will be responsible for managing relationships with our vendors and ensuring smooth operations. This is a crucial role that requires excellent communication skills, strong organizational abilities, and a customer-centric approach.
```Duties```
It's an important support role Mon-Fri, 30-40 hours that could develop into an office manager, and needs to be in person. Here's a general list of the duties:
- data entry into QBO for all invoices & expenses
- resolving invoice issues- monitoring the licenses and registrations for DMV renewals / expirations, truck tags
- Amex / crew card expense monitoring- booking expenses to correct jobs- downloading all invoices & receipts into dropbox daily
- investigating missing receipts, weekly lists to crews/PM- maintaining all price updates into LMN software
- matching POs to invoices and resolving errors / incorrect deliveries, capturing change orders
- working with billing coordinator on noticing when expenses are incurred prior to deposits being issued for new work
- possible payroll processing (via ADP), and other data entry as it relates to payroll
- Develop and maintain strong relationships with vendors
- Coordinate vendor onboarding and offboarding processes
- Monitor vendor performance and address any issues or concerns
- Collaborate with cross-functional teams to ensure vendor compliance with company policies and standards
- Conduct regular vendor meetings to discuss performance metrics, goals, and improvement opportunities
- Manage contracts and negotiate terms with vendors
- Track and analyze vendor data to identify trends and make data-driven decisions
- Assist in event planning and execution, including vendor selection and coordination
```Skills```
- Strong clerical skills with attention to detail
- Excellent customer support and service skills
- Exceptional organizational abilities
- Proficient in data entry and administrative tasks
- Experience in event planning is a plus
- Familiarity with Google Suite or similar office productivity tools, QBO is a must
