Office Supervisor

Positions Purpose: The Office Supervisor plays a critical role in the day-to-day management of office operations within their assigned location(s). Through effective leadership, communication, and coordination, they ensure that their offices run smoothly, efficiently, and in compliance with regulatory standards, while also fostering a positive work environment and delivering high-quality patient care.

Key Responsibilities

  • Recruitment and Hiring: Office Supervisors are responsible for recruiting and hiring new employees for their respective office locations. This involves collaborating with the HR department to advertise job openings, screen candidates, conduct interviews, and make hiring decisions that align with the practice's staffing needs and culture.
  • Training and Development: Office Supervisors oversee the onboarding process, ensuring that they receive comprehensive training on office procedures, policies, and systems. They provide ongoing support and guidance to new hires to facilitate their integration into the team and promote a positive work environment.
  • Performance Management: Office Supervisors are responsible for evaluating the performance of office staff on an ongoing basis. They set clear performance expectations, provide regular feedback and coaching, conduct performance reviews, and address any performance issues or concerns in a timely and constructive manner.
  • Schedule Management: Planning and managing office schedules to optimize patient flow and provider productivity.
  • Communication Facilitation: They serve as the primary point of contact for office staff, facilitating communication and collaboration within the team. Office Supervisors ensure that important information is communicated effectively, both vertically (from management to staff) and horizontally (across different departments or office locations).
  • Patient Satisfaction: Office Supervisors prioritize patient satisfaction by ensuring that office staff provide courteous, efficient, and compassionate service to patients.   • Problem-Solving and Conflict Resolution: When issues or conflicts arise within the office, Office Supervisors are responsible for addressing them promptly and effectively. They listen to employee concerns, identify root causes, and work collaboratively with staff to find solutions that promote teamwork, morale, and productivity.
  • Compliance Oversight: Office Supervisors ensure that office operations comply with all relevant regulatory requirements, industry standards, and practice policies in coordination with Senior Leaders. They stay informed about changes in regulations and guidelines related to healthcare administration and implement necessary updates or adjustments to ensure compliance.
  • Quality Improvement Initiatives: They actively participate in quality improvement initiatives to enhance the quality of patient care and service delivery within their offices. This may involve implementing quality metrics, conducting audits or evaluations, and identifying areas for improvement to enhance patient satisfaction and outcomes.

Minimum Qualifications for Office Supervisor:

  • Bachelor's degree in healthcare administration, business management, or a related field.
  • At least 3 years of experience in a supervisory role within a medical or dental office setting.
  • Reliable transportation and a valid driver's license.
  • Willingness to travel to four office locations as needed for training, meetings, or other operational requirements.
  • Strong leadership and interpersonal skills, with the ability to effectively manage a team and interact with patients.
  • Proficiency in office software applications, including Microsoft Office Suite and electronic medical records systems.
  • Excellent organizational skills and attention to detail, with the ability to prioritize tasks and meet deadlines.
  • Knowledge of healthcare regulations and compliance standards, particularly those related to oral surgery practices.
  • Ability to adapt to changing environments and handle multiple tasks simultaneously.
  • Strong communication skills, both verbal and written, with the ability to communicate effectively with staff, patients, and external stakeholders.

Job Type: Full-time

Pay: $55,000.00 - $65,000.00 per year
