Description

Employment Status: Full-Time, 35 hours per week

FLSA Status: Non-exempt/Hourly

Schedule: Monday – Friday, 8:00 a.m. – 4:00 p.m.

Reports to: Business Manager

Description

Summary: Provides electronic and hands-on support in managing parishioner database and online contribution software. Enters and manages approved facility schedules for Pastoral, administration, liturgical and parish ministries activities and events.

Essential Duties and Responsibilities:

· Maintains parishioner database, including recording donations, updating parishioner family records (demographic changes, family changes, deceased members, moves out of parish, etc.), and archiving records as needed.

· Organizes and enters staff and parish ministries’ approved schedules into facility database (calendar) during annual calendar planning, with continued entries and updates as needed throughout year.

· Lead administrator for online giving software, to include creation of online giving collections and paid events, report processing, and error resolution.

· Interfaces with community, including inviting regular donors to register as parishioners, working in person and via phone with parishioners to update donation amounts and methods, answering any questions they have about their records, and researching any account concerns.

· Lead project manager for Parish Data Systems (PDS) and WeShare software continued maintenance, updates and upgrades, to include ensuring all parish requirements are met, enhancement requests are made, and staff trained as needed. Creates 

communications and donor knowledgebase materials for distribution, and administers staff credentials for products.

· Collaborates with Development Office and Business Manager to produce bulletin and newsletter content concerning parishioner registration, donations, Archbishops’ Appeal and calendar events, among other subjects.

· Manually processes credit card transactions per cardholder authorizations for two separate online credit card systems through virtual terminals.

· Manages merchant services programs, user logins and coordinates mobile credit card readers for ministry needs.

· Enters annual pledge card terms into parishioner contribution database.

· Generates donor acknowledgement letters for the prior year’s donations at or above the IRS minimum, and prepares for timely bulk mailout.

· Provides weekly reports of credit card and online giving transactions to the Bookkeeping Office for bank reconciliation.

· Troubleshoots and maintains bulk mailing system and assists with ensuring correct postal regulations for parish mailouts.

· Creates ad hoc reports for bookkeeping, communications, and outreach purposes.

· Schedules and assigns parish Zoom accounts to ministries for virtual meetings.

Requirements

Qualifications and Requirements:

· Bachelor’s Degree with two years’ experience in electronic database management. 

· Ability to work with multiple deadlines across multiple departments and organizations.

· Good math skills and the ability to give great attention to detail.

· Ability to communicate clearly and effectively, both in writing and verbally.

· Intermediate-level skills in Microsoft Excel, Word, & Outlook.

· Competence with Parish Data Software (PDS) OnDemand products (Church Office, Facility Scheduler, & Formation Office).

· Administrator-level knowledge of Ministry Brands WeShare.

· Supports and adheres to the religious standards, policies and procedures of the Archdiocese of San Antonio.

· Maintains confidentiality regarding sensitive matters.

· Must demonstrate ability of serving collaboratively with other members of the parish staff. Must be willing to communicate and coordinate with members of the parish community with whom one may interact.

· Strong organizational skills, and the ability to meet parish goals and deadlines.

· Strong interpersonal skills and the ability to communicate to various levels of office staff, ministry leaders, and parishioners. 

· Ability to work in a team environment.

· Punctuality and reliability are a must in support of a positive work environment. 

· Hired personnel will serve a 90-day evaluation and probationary period.

· Meet all Archdiocesan employment requirements.

· Provide proof of valid driver’s license and insurance.

Preferred Qualifications:

· Experience with non-profit charitable donation recording.

· Knowledge of basic accounting principles.

· Knowledge of merchant services software and point-of-sale programs.

· Knowledge of postal regulations.

· Advanced-level skills in Microsoft Word, Excel, & Outlook

· Bilingual (English/Spanish)

Physical Demands/ Work Environment: 

While performing the duties of this job, the employee must have the ability to sit and type on a computer keyboard for a continuous period of time. The employee should have the ability to occasionally lift and reach overhead boxes and mailing trays for archive and bulk mail purposes.
