Job Purpose – What You Will Do 
The Grants Budget Analyst is a critical part of Healthier Generation’s ability to deliver on its mission by supporting budgeting planning, tracking and reporting of new and existing funded projects. This role is a partner to the entire organization, particularly to the Program, Development, and Finance teams. They will collaborate with senior leaders in department-level annual budget preparation, budget distribution, grant proposal budgets, grant reports, monthly grant spending summaries and revenue projections. This position will play a key role in providing strategic analysis for ongoing monitoring of budgets and forecasting of results, donor reporting and financial analysis along with projects as requested. This position is responsible for accurate monitoring, recording, and reporting of all grant-related expenses and receivables. 
Core Responsibilities 
Tracking, Analysis and Reconciliation
  • Track monthly grant and unrestricted spending, develop tools, trouble shoot for errors or changes needed, communicate expected areas of under or overspend. 
  • Prepare journal entry change requests; identify needs for adjustment, allocate their appropriate percent, and confirm completion.
  • Adjust staffing allocations monthly based on changes to grants and timesheet entries/data.
  • Forecast grant expenditures including impact of personnel allocation changes; alert key internal partners of potential problem areas or opportunities; monitor and oversee project charges and expenditures; oversee correction of inaccuracies.
  • Understand program interactions and overlaps between grants, suggest strategic use of grants funds that maximize program objectives.
  • Reconcile financial data between Development and Finance, providing accurate data and work within the funder database to ensure accurate recording of grant deliverables and expenses. 
  • Monitor and track spending across all grants; monitoring grant deliverables and spending in a timely manner and communicating spending activities to grant managers.
  • Analyze financial information for funder reports and suggest changes, including adjustments among complementary grants and funds, as appropriate.
Budgeting and Planning
  • Coordinate the annual budgeting process, prepare budget allocations across departments, and finalize all budget documents. 
  • Participate in budget planning/status meetings, convey complex financial concepts and budget/expenses analyses to non-financial management and staff.
  • Build financial statement models for current and forecasted revenues and expenses.
  • Understand complexities of donor relationships and be a thought partner to internal partners on spending grant funds effectively and appropriately.
  • Forecast grant spending based on differing grant periods and fiscal year.
New Funding Support
  • Collaborate with internal partners – including Program, Development, and Finance team members – to create internal and external proposal budgets, incorporating information from other grants and projects.
  • Create tools and resources needed for proposals including estimated costs, project funds, budgets and budget narratives, etc. to be used internally and externally as necessary.
  • Work with staff in developing proposal budgets for potential funders and subsequent funders reporting at the end of each grant period. 
Reporting
  • Collaborate with internal partners – including Program, Development, and Finance team members – to prepare financial data and reports as requested/needed for internal and external use.
  • Create any additional tools/calculations needed for grant reporting.
  • Prepare and analyze organizational financial reports for the Board, auditors, and external vendors as necessary.
  • Prepare presentations, briefings, and actively participate in internal and/or external meetings and day-to-day interactions to support budget requirements. 
  • Prepare monthly actual vs. budget reports and provide strategic analysis (including key spending data/insights, suggested changes, and budget narratives on spending variances) to internal and/or external partners for on-going monitoring of grant, departmental and/or organization budgets.

Education and experience requirements for this role: 
  • Bachelor’s degree in accounting, finance, or related field or equivalent combination of education and experience; master’s degree preferred.
  • 5 years' experience as a budget analyst, general accountant, or in a similar position.
  • 2 years’ experience in non-profit finance and/or accounting.
  • Advanced level Microsoft Excel skills, including PivotTables, VLOOKUP, and macros.
  • Experience with CRM systems.
Other Requirements 
  • Experience working in a complex non-profit organization, federal funding and grant management preferred.
  • Must be able to analyze information and provide recommendations.
  • Demonstrated experience developing financial models supporting strategic planning projects.
  • Experience with budget activities, including development and tracking.

Each job at Healthier Generation is assigned to a salary grade built on market data. For an individual coming into Healthier Generation, we set pay generally between the minimum and the midpoint of the salary grade and based on qualifications. For this position, the minimum is $68,642 and the midpoint is $82,370, with flexibility for well-qualified candidates.
