Flagstaff Shelter Services is Hiring a Shelter Manager Near Flagstaff, AZ

Overview

The Shelter Manger at Flagstaff Shelter Services (FSS) supervises lead coordinators and coordinators to ensure FSS policies and procedures are followed, clients are treated fairly, staff are performing their tasks per job description, and all interactions with the public are courteous and professional.

Flagstaff Shelter Services is in the process of opening its third unique location dedicated to ending homelessness in Flagstaff and Northern Arizona. As such, we are hiring for a third Shelter Manager who will likely assume the duties of this new location, or one of our pre-existing locations.

Objectives

A Shelter Manager is responsible for the following objectives:

Teamwork: Shelter Managers will supervise lead coordinators and coordinators and build a supportive team environment when working in challenging situations. The Shelter Manager will assist in the onboarding and training of lead coordinators, and coordinators. Additionally, Shelter Managers will work in close coordination with one another to assure standards are being met across all locations operated by Flagstaff Shelter Services.

Public Interaction: The Shelter Manager will interact with outside resources, partners, and the public. All interactions with these groups will be professional, keeping the best interests of the shelter in mind.

Service: The Shelter Manager will lead by example and attend further/on-going training to ensure that Lead coordinators, and coordinators treat all clients fairly, with dignity and without regard to racial, ethnic, religious, or social prejudices.

Efficiency: (Workflow and upholding Standards) The Shelter Manager will ensure Standard Operating Procedures (SOPs) are implemented, and all documentation is completed in a timely, and consistent manner, further reviewing documentation of lead coordinators and coordinator to ensure the same standard is applied.

Cleanliness: Maintains a clean work environment. Follows the new cleaning standards listed below following the outbreak of the Covid Virus. Holds employees accountable to cleaning standards proactively.

Essential Duties and Responsibilities

Shelter Managers will…

  • Have well rounded knowledge of issues and challenges specific to homelessness, mental illnesses substance use, minorities, persons with disabilities, and/or persons with criminal backgrounds without prejudices.
  • Ability to collaborate with persons in crisis situations and provide appropriate resources
  • Assist clients in other team members in understanding community resources, and how to appropriately navigate those resources.
  • Make reasonable decisions related to client care -keeping the best interest of the client and shelter in mind.
  • Manage and lead team members by example, to foster an ethical and fair culture.
  • Have effective communication skills with all team members.
  • Work with people in crises, including those with mental illnesses, addictions, and criminal backgrounds without prejudices. 
  • Have a clear understanding of HMIS and Flagstaff Shelter Policies and Procedures. 
  • Properly address and report all complaints and grievances. Notifying Director of Operations/ Director of Programs of any immediate need to respond.
  • Complete HMIS data quality control processes in a consistent and timely manner to ensure accuracy in data and reporting needs.
  • Monitor all Standard Operating Procedures (SOP’s), delegate responsibilities and/or supervise Coordinators as needed to ensure compliance.
  • Assign roles to Lead Coordinators and Coordinators as needed.
  • Communicate with the staff from the previous shift during shift change and summarize events to staff responsible for the next shift, notify Director of Operations/ Director of Programs of any immediate need to respond.
  • Knowledgeable in the navigation utilization and direct coordination of resources available to clients. 
  • Review the consequence list, recent client, and incident reports, report any further client staffing needs to Director of Operations and Director of Programs
  • Resolve client issues as they arise to deescalate, providing resources as appropriate to the client, and/or feedback to team members on appropriate handling of situation –report any further needs to the Director of Operations and Director of Programs
  • Work resourcefully and tactfully with all outside agencies
  • Work with police and camera system as needed.
  • Be tactful, discreet, and resourceful throughout shift.
  • Attending all staff meetings and training courses.
  • Work weekends and holidays if scheduled. 
  • Complete all other reasonable duties as assigned by the Director of Programs.
  • Write schedules to maintain proper staffing of the FSS location which they are directed to manage.

Education, Experience, and Qualifications

  • High school education, GED, or the equivalent
  • 2 years of experience working in a human services field required or equivalent knowledge, skills, and abilities.
  • Previous supervisory experience 
  • General knowledge of Microsoft Office (Word and Excel)
  • Experienced in data entry.
  • Strong written and verbal communication skills

Physical Demands and Work Environment

  • Must be able to walk around the property.
  • Perform light lifting (25 lbs.)
  • Work in a shelter, office, and outdoor environment throughout the course of every shift.
  • Frequent bending, reaching, squatting, and kneeling may be necessary while performing job functions.
  • Shifts may require extended periods of standing and walking.
  • There may be exposure to cleaning agents and allergens.
  • This role may be subject to loud/frequent noise.
