Job Summary:

We are seeking a highly organized and detail-oriented Executive Administrative Assistant to provide comprehensive support to our executive team. The ideal candidate will have excellent communication skills, be proficient in using various software applications, and possess strong problem-solving abilities. As an Executive Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our organization.

Responsibilities:

- Manage executive calendars, schedule appointments, and coordinate meetings

- Prepare and edit correspondence, reports, and presentations

- Conduct research and compile data for various projects

- Assist with project coordination and follow-up on action items

- Maintain subcontractor insurance and W-9 records

- Handle confidential information with discretion and maintain strict confidentiality

- Perform general office management duties such as filing, organizing documents, documentation of company procedures, and maintaining office supplies

- Answer phone calls, take messages, and direct inquiries to the appropriate person or department

- Coordinate travel arrangements and accommodations for executives

- Assist with data entry tasks and maintain accurate physical and electronic records

- Other reasonable duties as assigned

Qualifications:

- Proven experience as an Executive Administrative Assistant or similar role

- Proficient in using software applications such as MS Office, Adobe Acrobat, and Google Suite

- Strong organizational skills with the ability to prioritize tasks effectively

- Excellent written and verbal communication skills

- Attention to detail and ability to maintain accuracy in all work

- Ability to handle multiple projects simultaneously and meet deadlines

- Experience in office management or related administrative roles is a plus
