University of Iowa Center for Advancement is Hiring a Senior Advancement Administrative Associate Near Iowa, IA

Reporting to the Assistant to the President of the University of Iowa Center for Advancement, the Senior Advancement Associate provides high-level, proactive administrative support for the UICA Assistant to the President and President and CEO while exemplifying discretion and professionalism in all interactions. A strong attention to detail, speed, accuracy, proficiency in Microsoft products, the ability to think and plan ahead, and demonstrated discernment and confidentiality are crucial to the success of this position.

**For the majority of time, work will be performed on site with some flexibility to work from home on occasion. Our office is located in Iowa City, IA. **

  • Demonstrates high levels of adaptability, organization skills, and the ability to prioritize and complete work while remaining flexible in a daily work environment that fluctuates based on current and rapid needs of the organization and the President and CEO.

  • Exemplifies professionalism, courtesy and collaboration while acting as an extension of the UICA President’s Office in communications with internal and external departments and organizations as needed.

  • Proactively manages complex calendars for the Assistant to the President and President and CEO by prioritizing appointment requests and resolving conflicts; adhering to meeting preferences; preparing materials for upcoming meetings; and anticipating schedules with little to no direction.

  • Provides administrative assistance for UICA functions and meetings as determined by the Assistant to the President. This includes scheduling, high-level materials preparation, research, management of timelines and communications.

  • In alignment with the Assistant to the President, is a matrix report to the Vice President, Talent Management and provides administrative support to that role as well as the talent management department as needed with discretion and professionalism.

  • Coordinates all aspects of trip planning and donor visits for President and CEO and Senior VP, Development, including collaboration with UICA colleagues and communication with campus leadership on combined travel and donor visits. Ensures travel itinerary and reservations are complete (airline, hotel, rental car, appointments, etc.) and serves as direct contact for travel preferences and selection with UICA President and CEO and Senior VP, Development.
  • Manages all tracking, reporting and reimbursements of expenses for the President and CEO and Senior VP, Development while informing the Assistant to the President and other applicable staff members, to ensure informed budget adherence and preparation.

  • Inputs, updates and maintains records information in the CRM for the President and CEO and Senior VP, Development.

  • Manages stewardship processes and outreach for the President and CEO, and assists with stewardship for the Senior VP, Development, as requested.

  • Maintains proficiency, seeks training and serves as a resource for others in new and current technologies including external (Calendly, Doodle, etc.) and internal (SharePoint, OneDrive, expense management, etc.).

  • Answers complex questions from UICA colleagues, external constituencies and/or donors.

Education & Experience:  HS diploma 9 years administrative experience, OR associate’s degree 7 years administrative experience, OR bachelor’s degree 4 years administrative experience. Demonstrated experience supporting a senior leader requiring confidentiality and discretion with proficiency in all Microsoft products, as well as preparing written communications and meeting/event coordination and scheduling is required.
