Executive Director of Financial Aid
LOCATION: Wayland Baptist University (WBU) – Plainview Campus
POSITION: Executive Director of Financial Aid
SUPERVISED BY: Vice President of Enrollment Management
POSITION CLASSIFICATION: Exempt (Executive)
POSITIONS SUPERVISED: All financial aid staff and student workers located on the Plainview campus and/or those working remotely who report to the Plainview campus financial aid office.
GENERAL RESPONSIBILITIES:
The Executive Director’s position will require both broad oversight as well as a hands-on management style, including a thorough knowledge of current best-practices in financial aid and an enrollment growth mindset. The position is responsible for successful federal and state audits, various reporting requirements, and leading an effective team of financial aid staff.
SPECIFIC TASKS AND DUTIES:
- Develop, recommend, implement, maintain and distribute policies, procedures, standards and guidelines for financial aid programs ensuring compliance with Federal and State laws and local regulations.
- Provide the data required by Federal and State agencies including preparation for audits of financial aid records; complete the Financial Aid Database (FAD) report for all cycles of the statewide report; complete the annual Application to Participate in Federal Student Financial Aid Programs (FISAP); and provide financial aid data for IPEDS, CDS, and other outside national reports.
- Administer the Federal Pell Grant, Federal Work Study, Federal Supplemental Educational Opportunity (SEO) Grant, WBU Scholarships, state aid programs, and other aid programs.
- Coordinate with other offices and directors to play a critical role in a tuition driven institution by the strategic leveraging of financial aid.
- Prepare and monitor the annual department budget in accordance with established University policies and procedures.
- Communicate with university administrators and staff and outside agencies to coordinate activities and programs, resolve problems and exchange information.
- Calculate return to title IV refunds for students who withdraw (officially and unofficially) from classes; ensure compliance with Satisfactory Academic Progress (SAP) regulations.
- Develop strategic planning goals and objectives for financial aid in conjunction with the university’s strategic plan.
- Maintain current knowledge of new or changing financial aid related regulations; develop and modify procedures and standards accordingly; incorporate creative guidelines and innovative trends into the financial aid, scholarship and federal work study programs.
- Embrace technology and related best-practices in the financial aid industry in order to impact student engagement and enrollment growth.
- Authorize disbursement of Federal, State and private aid; analyze and forecast expenditures for Federal, State and institutional programs.
- Manage, supervise and coordinate the daily operations of the financial aid office.
- Instill, maintain, and require both a strong sense of customer service throughout financial aid services system-wide and an understanding of how financial aid directly contributes to both the academic success and success realized post-graduation for the students served by Wayland.

MINIMUM QUALIFICATIONS:
A commitment to and an agreement with the purposes and philosophy of Christian higher education as promoted by the Baptist General Convention of Texas/Texas Baptists in general and Wayland Baptist University in particular.
Education:
- Bachelor's Degree from an accredited college or university is required.
- Master's Degree from an accredited college or university is preferred.
Experience and Knowledge:
- Five or more years University/College financial aid experience
- Five or more years of progressive management experience
- Thorough knowledge of federal regulations for administering federal financial aid
Skills and Abilities:
- Excellent written, oral, and interpersonal communication skills with faculty, students, and administrators across the entire university community
- Ability to collaborate effectively with others across the university community
- Strong management and leadership skills to build and lead a positive and effective team
- Ability to train personnel in current best-practices across the financial aid industry
- Independent problem solving, self-direction, and strong time management skills
- Strong organizational and analytical skills
- Skilled with industry technology including word processing, spreadsheets, databases, and PowerPoint. A working knowledge of software is preferred, including PowerFAIDS, Powercampus, Perceptive Content (or other imaging software), and Slate
- Ability to work under pressure and prioritize duties
Conditions of Employment:
Employment is subject to an introductory period to monitor employee performance. If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE). Employee must be able and willing to travel and teach at external campuses. Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license. Must have and maintain a satisfactory driver’s record.
