Description

M.S. Rau is looking for a Marketing Assistant who will play a key part in supporting the overall marketing department and campaign execution. This position is responsible for a variety of tasks, including managing and reconciling the marketing budget, setting up marketing campaigns, website, email and blog maintenance, online partnerships, event coordination, and customer surveys.

The expertise you will bring include:

Marketing Admin Tasks

• Reconcile the marketing budget monthly and ensure all expenditures stay within allocated amounts.
• Process invoices for payment and maintain accurate financial records.
• Administer marketing contracts with vendors and partners.
• Act as a press liaison, assisting with inquiries, image requests, and tracking press. 
• Create and manage marketing campaigns in Salesforce for various channels, such as newspapers, web, and email.
• Manage the RingDNA platform, including connecting 800 numbers and assigning numbers for marketing campaigns in Salesforce.
• Assist with mailing lists for catalogs and post-cards using our Salesforce system and making accurate updates to campaigns and addresses.
• Develop relationships with the local concierges and share marketing materials with them 3-4X a year. 

Event Management

• Assist with organizing and executing promotional and gallery events.
• Manage logistics for gallery events, including exhibitions, client functions, and special partnerships. This includes coordinating catering, entertainment, rentals, guest flow, and staff scheduling.
• Maintain an up-to-date marketing contact list for press, event planners, and other relevant parties.

Email and Website Tasks

• Maintain the back end of the gallery website on Shopify, ensuring sold items are removed, and links, processes, and forms function properly. Make updates as necessary.
• Maintain our blog and upload new ones to our Shopify site.
• Assist with updating digital ad creative records in Salesforce.
• Facilitate workflows between internal team and external paid agency (ex. duplicate and manage timelines for new ad activations).
• Assist in ongoing HubSpot maintenance practices (ex. workflow management, email list maintenance).

Affiliate Websites & Online Reputation Management

• Manage Affiliate websites – 1st Dibs, Artsy, Artnet. including: manage uploading and taking down sold items to and from the affiliate websites; communicate with our reps on gallery events and shows and editorial ideas; reporting back trends to the team with ideas on how we can drive more qualified leads.
• Manage Review Websites (Google Business, Yelp, TripAdvisor) and ensure they are updated regularly.

Customer Surveys

• Manage the distribution and reporting of customer surveys to gather feedback and inform marketing strategies.

Requirements

Other skills you will bring to M.S. Rau:

• Bachelor's degree in communications, marketing, or a related field
• At least 2 years of experience in marketing or a similar role
• Experience with CRM systems, preferably Salesforce and HubSpot
• Experience with image files and size formats – Photoshop skills a plus
• Proficient in MS Office - advanced knowledge of Excel required
• Excellent organizational, communication, interpersonal, and time management skills
• Strong attention to detail and ability to manage multiple tasks simultaneously
• Ability to work independently and as part of a team
• Proven ability to lead small projects in a timely fashion
• Creative, highly motivated self-starter
• Ability to work under pressure and meet close deadlines

Compensation and Hours

This is a full-time hourly position with a very competitive compensation range based on abilities and experience plus the potential to earn quarterly and annual bonuses. This position works Monday through Friday 8:30 am to 5:15 pm. There may be a need for occasional evening and Saturday work.
