POSITION: Payroll Clerk
REPORTS TO: Assistant Treasurer or Designee
EMPLOYMENT STATUS: Full -Time, 250 Days, FLSA Exempt
QUALIFICATIONS:

  • High school diploma or equivalent (Associate's or Bachelor's degree in accounting, finance, or related field preferred).
  • Previous experience in payroll or accounting role, preferably in a school or educational setting.
  • Proficiency in Payroll State Software and Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Strong attention to detail, accuracy, and organizational skills.
  • Excellent communication and interpersonal skills, with the ability to work effectively with vendors, staff, and stakeholders.
  • Ability to prioritize tasks, meet deadlines, and work independently with minimal supervision.
  • Knowledge of accounting principles, financial regulations, and accounts payable best practices.
  • Familiarity with school finance systems, policies, and procedures is a plus.
  • Suited for situations that require the ability to plan ahead, yet remain flexible enough to adapt to new situations or react to emergencies
  • Able to work cooperatively with students, parents, teachers, school staff, administrators, and the general public
  • Must pass a criminal background check
  • Hold a valid Ohio Driver’s License
 
GENERAL DESCRIPTION:
 
The Payroll Clerk is responsible for accurately processing payroll for all employees within the District, ensuring timely and accurate payments. This role involves maintaining payroll records, calculating salaries, deductions, and benefits, and ensuring compliance with relevant laws and regulations. The Payroll Clerk plays a critical role in ensuring that all employees receive accurate and timely compensation, contributing to the smooth operation of the Treasurer’s Department.
 
ESSENTIAL FUNCTIONS:
  • Process payroll for all school employees, including teachers, administrators, and support staff, ensuring accuracy and adherence to established deadlines.
  • Maintain accurate payroll records, including employee information, hours worked, salaries, deductions, and benefits.
  • Calculate salaries, wages, overtime, and deductions accurately based on employee timesheets, contracts, and relevant policies.
  • Administer employee benefits such as health insurance, retirement plans, and other deductions, ensuring accurate and timely processing.
  • Ensure compliance with federal, state, and local tax regulations, including withholding taxes, reporting requirements, and filings.
  • Prepare and distribute payroll reports as required by management, providing insights into payroll expenses, trends, and variances.
  • Serve as a point of contact for employee inquiries regarding payroll matters, providing assistance and resolving issues in a timely and professional manner.
  • Stay up-to-date with relevant laws, regulations, and school policies related to payroll processing and employee compensation.
  • Coordinate with HR department, finance team, and other relevant stakeholders to ensure seamless payroll operations and resolve any discrepancies or issues.

KNOWLEDGE OF: Board policies and procedures, building policies and procedures, student code of conduct, community resource agencies, emergency preparedness drills, public relations, federal and state reporting, and records management.
 
ABILITY TO: Interpret policies, procedures and regulations, follow instructions, communicate effectively, prepare, maintain, and file accurate and concise reports, collect data, recognize individual differences, lift a moderate amount of weight, develop a rapport with students, staff, co-workers, administration and the public.
 
ADDITIONAL WORKING CONDITIONS AND ENVIRONMENT:
 
OCCASIONAL: Exposure to inclement weather driving conditions and severe weather, traffic, loud noise, unruly children/adults; attends functions or performs duties outside normal working hours; exposure to blood, bodily fluids and tissue. Light lifting, up to 50 pounds.
 
PERIODIC: Exposure to inclement weather driving conditions and severe weather, heavy equipment, unruly children/adults; exposure to common childhood illnesses.
 
FREQUENT: Exposure to blood, bodily fluids and tissue. Prolonged periods of standing and lifting (10-20 pounds). Bending, stooping and reaching.
