Description

Position Overview

The Senior Accountant will assume a pivotal role, engaging in a range of AP/AR, record-keeping, and accounting functions, utilizing Financial Edge NXT accounting software. Under the general supervision of the Controller, this role will play a key role in the management of accounts payable, accounts receivable and will demonstrate expertise in managing the school’s principal revenue source - tuition - as well as auxiliary revenue. Responsibilities focus on problem resolution of financial issues and include providing responsive and effective customer services to the OWS community.

Major Areas of Responsibility/Specific Duties:

  • General Ledger
    • Assist with monthly closing process by preparing and recording journal entries and monthly reconciliations of general ledger accounts.
    • Prepare and maintain monthly cash flow reports.
    • Prepare and distribute departmental/divisional financial reports each month. Investigate and correct errors to ensure the classification of expenses is correct in the GL.
    • Receive, record and deposit cash receipts.
    • Manage school issued credit cards including recording, confirming, and reconciling expenses.
    • Assists with preparations for the annual financial audit by delivering required documentation and responding to inquiries as needed.
    • Distribute and reconcile petty cash.
    • Continually evaluate processes to identify ways of improving and leveraging systems to be more efficient and better serve management and end user needs.
    • Analyzes and reconciles more complex Balance Sheet accounts, identifying and resolving discrepant items.
    • Implements new accounting policies and processes to meet changing requirements and support new business initiatives.
    • Assists in prioritizing work and coordination of special projects or audits, informs and advises management on issues, seeking assistance to escalate issues as appropriate.
  • Cash Receipts
    • Oversee the accounting for donations, ensuring accurate recording and classification.
    • Collaborate with fundraising teams to reconcile donation records and address discrepancies on a monthly basis.
    • Oversees the processes for student accounts and works closely with families on account matters. Monitor past due receivables and send statements as required. Elevate significant past due amounts to the Controller.
    • Monitor and manage daily cash flow, ensuring accuracy and completeness.
    • Promptly deposit checks for efficient financial processing.
  • Accounts Receivable/Payable:
    • Track and meticulously reconcile accounts receivable to guarantee the accuracy of all payments and their proper posting including tuition, fees, contributions, etc.
    • Prepare and record disbursements using FENXT software.
    • Act as the point of contact for all accounts payable matters, including the setup of new vendors, working with contract owners to ensure contracts are current, and managing the year-end 1099 filing process.
    • Route bills for coding and approval; enter invoices into FENXT and prepare weekly payment runs.
    • Conduct monthly reconciliations for payable accounts, such as benefits.
    • Process the Department of Revenue's quarterly Combined Excise Tax return for B&O and Use Tax.
  • Payroll
    • Work closely with the HR Manager to support the monthly payroll process.
    • Reconcile payroll related general ledger accounts and monthly insurance billings.
  • Other duties as assigned.

Qualifications


Qualities & Qualifications:

  • Bachelor’s degree in accounting or relevant experience.
  • Minimum of three years experience as a Senior Accountant or in a similar role with increasing responsibilities.
  • CPA certification preferred.
  • Non-profit and/or independent school experience a plus.
  • A thorough understanding of GAAP and internal controls required.
  • Proficient in standard office and general bookkeeping practices and procedures.
  • Ability to multi-task and manage priorities effectively in a fast-paced environment, while exhibiting exceptional attention to detail and continuously driving process improvements.
  • Strong analytical skills with a knack for problem-solving.
  • Resourceful and adept at researching and resolving inquiries.
  • Excellent interpersonal, communication, and organizational skills.
  • Exhibits excellent time management skills and effectively prioritizes competing responsibilities with minimal oversight from managers, ensures deliverables are completed on time.
  • Adaptable, collaborative, and capable of thriving in a team-oriented environment as well as independently.
  • Proficient in Microsoft Office software (Excel, Powerpoint, Word, etc.); experience with Blackbaud FENXT and Blackbaud Tuition Management a plus. A willingness to learn new technology as needed.

Position Details:

Manager: Controller

Compensation: $75,000 - $90,000 per year

Position Classification: Exempt, Full Time, 12 months

Hours: 8am – 4pm, some evening/weekend work may fall outside of these hours.
