We are looking for a TALENT SPECIALIST/HR COORDINATOR who will champion our culture, our people and our award-winning architectural and design services. As part of our People & Culture (HR) team in our Pleasanton, CA headquarters, you will use your positive, energetic skills to recruit for current needs across multiple offices and help build the recruiting pipeline for our future. You will ensure all recruiting activities are flowing in an organized and efficient manner to maintain an incredible candidate experience and a clear process for staff. Under the guidance of the Manager - People & Culture, you will also collaborate with others across the firm in support of employee engagement activities and talent-related initiatives.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Develop relationships with staff and leaders to understand our culture, projects, and talent. Utilize that knowledge in recruiting additional team members and employee engagement/retention.
  • Post and track open positions/requisitions on company website and various sourcing outlets, including social media, in accordance with our branding guidelines and established budget.
  • Source and recruit candidates by using recruiting tools such as LinkedIn, Indeed, passive resume databases/job portals, social media, professional associations, etc.
  • Act as a positive point of contact and brand ambassador, promoting company’s reputation as “best place to work”. 
  • Screen candidate’s resumes and job applications in ATS (JazzHR). Assess applicants’ relevant knowledge, skills, soft skills, experience and aptitudes by comparing qualifications to job requirements.
  • Coordinate the logistics of candidate presentation, scheduling interviews and providing background information to key stake holders, follow-up feedback and checking references.
  • Monitor and apply HR recruiting best practices for process consistency, ensuring the recruiting is consistently executed so nothing gets dropped.
  • Build a pipeline of targeted prospects by developing relationships with candidates as a trusted advisor.
  • Provide analytical and well documented recruiting reports, including standard recruiting metrics.
  • Understand our organization and people to be able to interact and influence for both recruiting and scheduling purposes. Engage with staff/hiring managers as needed to keep the process moving in a positive, productive manner. Respond to candidates with follow up emails at the end of the recruiting process.
  • Coordinate university/college recruiting program.
  • Develop and update job postings and job descriptions as directed.
  • Coordinate Onboarding program; prepare and update new hire material.
  • Conduct Pulse and Employee Engagement Surveys to gain feedback and insights from employees.
  • Host New Hire events to facilitate inclusion and engagement.
  • Create and foster strong partnerships within leadership to support engagement and retention efforts.
  • Be available Monday-Friday from 8am-5pm and collaborate with administrative staff across the firm to contribute to a positive and productive work environment. This position is eligible for hybrid work after a period of on-site orientation.

KNOWLEDGE, SKILLS, & ABILITIES:

  • Strong, demonstrated digital media skills (search engines, software and social media) REQUIRED
  • Sense of urgency, initiative and positive energy
  • Excellent attention to detail and demonstrable accuracy, with excellent organization and follow-up skills
  • Exceptional verbal and written communication skills
  • Exceptional interpersonal skills
  • Strong customer service orientation and ability to build effective partnerships with hiring managers
  • Ability to operate independently with minimal supervision, while also working collaboratively with team and established protocol
  • Proficient with Word, Excel & Outlook
  • Working knowledge of employment laws and compliance requirements as they relate to recruiting and hiring preferred.

MINIMUM EXPERIENCE, EDUCATION, & CERTIFICATIONS:

  • 2 years’ proven work experience as a Recruiter (as HR coordinator, in-house recruiter or a staffing agency recruiter) REQUIRED; OR equivalent experience as a tech-savvy Marketing Coordinator in an A/E/C firm.
  • Hands-on experience with recruiting/sourcing solutions (LinkedIn Recruiter), Applicant Tracking Systems (ATS), and social media campaigns REQUIRED.
  • 2 years' experience in employee engagement, employee experience, or other related HR disciplines preferred.
  • Experience in professional services firms preferred.

We offer a competitive compensation package based on experience and qualifications. Excellent benefits include medical, dental, and vision coverage. We also offer the opportunity to participate in a pre-tax Flexible Spending plans for medical, childcare, and commuter expenses, Employee Stock Ownership Plan, and 401k.
Salary range: $60,000 to $70,000 depending on qualifications. Placement within this pay range will be determined by factors such as education, qualifications, project complexity and/or experience. The maximum is reserved for candidates who currently meet all job requirements. We believe in the importance of pay equity and consider internal equity of our current team members as part of any final offer.
