Job Title: Lifeline Operations & Training Coordinator
Department: Suicide & Crisis Lifeline
Reports to: Lifeline Operations Manager
Hours: Full-time, 40 hrs/week, Sunday through Thursday
Family Services of the Merrimack Valley is seeking a full time Operations Coordinator. The Lifeline Operations & Training Coordinator works directly with the Operations Manager to manage day-to-day back-end operations of Family Services of the Merrimack Valley's (FSMV) 24/7 Suicide & Crisis Lifeline. Specifically, the Operations & Training Coordinator is primarily responsible for ensuring all Lifeline staff benefit from a robust training program that supports professional development and adherence to best practices, policies, and standards. The Operations & Training Coordinator is also responsible for assisting with data collection, coordinating volunteer recruitment & screening, and fulfilling administrative support tasks.
B. Duties and Responsibilities
Trainings: Primarily responsible for ensuring all Lifeline staff complete necessary pre-service and in-service trainings to comply with policies, standards, and best practices and uphold the professional development of all Lifeline staff. Includes partnering with outside vendors, FSMV leadership and clinical teams, MDPH and Vibrant to develop and deliver training curricula.
Data Collection: Assist Operations Manager to implement data collection tools, ensure data integrity, resolve data collection issues, and provide training to all Lifeline staff on data collection protocols.
Volunteers: Respond to volunteer inquiries, process applications, screen candidates, and facilitate inclusion of volunteers in pre-service training and Call Taker scheduling.
Administrative Support: Provide administrative support for all Lifeline operations, including:
- Scheduling all staff meetings and trainings,
- Supporting IT functions,
- Maintain inventory of supplies and equipment,
- Manage emails, respond to inquiries, phone calls and other correspondence.
Marketing: Collaborate with FSMV administrative team to market and promote awareness of the Lifeline in the FSMV catchment area.
•Maintains knowledge of Supervisor and Call Taker functions and provide shift coverage as needed and serve as on-call back up on a rotating basis.
Additional responsibilities as determined by the Lifeline Director, Chief Program Officer, or Chief Executive Officer.
Requirements
•Minimum of an associate's degree or 2 plus year of relevant experience
•Successful experience as an Administrative or Training Coordinator in a similar organization.
•Proficient with technology, including Microsoft Office solutions and databases and aptitude for learning and utilizing technology including databases and web-based systems as well as hardware (office equipment, printers, etc.).
•Strong organizational skills with the ability to multi-task. Excellent time management skills and the ability to prioritize work.
•Attention to detail and problem-solving skills.
•Strong interpersonal skills and ability to communicate effectively in writing and verbally.
•Desire to help others, display compassion, and maintain confidentiality required.
•Demonstrate cultural competence with an ability to work with diverse populations within the community and agency staff members.
