Behavioral Associates - Administrative Assistant
Company Description:
Behavioral Associates, established by Dr. Robert Reiner, PhD, BCN, BCB, has been serving communities across New York for over 30 years. Our approach emphasizes the use of Cognitive Behavior Therapy (CBT) alone or combined with therapeutic technologies such as virtual reality (VR), neurofeedback and biofeedback to treat a wide range of mental health conditions. In addition to CBT, we also provide Dialectical Behavioral Therapy (DBT), services for children and adolescents, and psychological/neuropsychological assessments like qEEG brain mapping.

Job Description:
As a member of the administration team, the Administrative Assistant will perform a wide range of office and administrative tasks for the department, directors, supervisors, and therapists, to facilitate the efficient operation of the company.

The ideal candidate is be someone who values communication, is organized and punctual, and can maintain professionalism at all times. In addition to having the skills and qualifications listed below, the ideal candidate should be an individual who is social justice-oriented to reflect our awareness of the needs of the diverse populations we serve.

The Administrative Assistant’s responsibilities include, but are not limited to, the following:

● Transfers, answers and screens inbound phone calls. Returns phone calls.
● Exhibits professional etiquette and communication via telephone, e-mail, mail, face-to-face, and other forms of communication.
● Provides administrative support to the department and other departments and individuals within the company to ensure the efficient operation of the company.
● Completes office-related responsibilities such as copying, filing, typing, mailing, scanning, and utilization of equipment (i.e., copier, fax machine).
● Completes operational duties such as scheduling and assigning appointments.
● Open, sort, and distribute incoming correspondence.
● Coordinate maintenance of office equipment.
● Other responsibilities as is determined by the practice owner or other supervisor, as needed.

Schedule:
This is a part-time position, 3 days per week. Potential to increase hours after 6 months.

Job is in-person, with potential for remote days in the future. The candidate should be able to commit to coming in at least 3 days per week.

Skills and Qualifications:
● Proficiency in Microsoft Office, Adobe Acrobat, and G-Suite.

● Strong interpersonal skills. Verbal and written communication skills, via e-mail and telephone.

● Ability to operate standard office equipment - printer, copier, fax machine, etc.
● Ability to maintain confidentiality in accordance with HIPAA and such laws.
● Strong reading and organizational skills.
● Willingness to learn platforms such as ZocDoc, Zoom (for scheduling), and SimplePractice.

These can be taught on the job, if needed.
● QuickBooks experience is preferred, but not required.

Education and Experience Requirements:
● Associate’s Degree or higher is preferred. At minimum, a high school diploma or equivalent is required.
● 1 - 2 years of administrative experience.
● Knowledge of Microsoft Office, Adobe Acrobat, GSuite.

Pay:
Payment is $25 per hour. No benefits at this time. Potential for benefits after 1 year.
