JOB DESCRIPTION

Position Title: Advancement Operations Manager

Position Type: Full-time

Department: Advancement

Classification: Non-Exempt

Reports To: Director of Advancement

Job Summary

TMI Episcopal is seeking a highly organized and detail oriented professional with a strong work ethic and outgoing personality to join our team as an Advancement Operations Manager. This position provides efficient management of the day-to-day department operations by performing essential administrative support to the Director of Advancement and members of the Advancement team, assisting in fundraising efforts, donor relations, stewardship, special events and annual giving.

The Advancement Operations Manager performs gift processing, gift acknowledgement, database entry, integrity and maintenance tasks, coordinating timelines and deliverables, maintaining the department calendars and meeting schedules, and other various support activities.

The Advancement Office at TMI Episcopal is highly responsive to the needs of others and maintains high standards of confidentiality and integrity. The environment is busy, fast-paced and team-oriented. The ideal candidate will have excellent communication skills, a proactive approach to problem-solving, and the ability to handle confidential information with discretion.

Essential Job Duties

Specific duties include, but are not limited to, the following:

  • Serve as customer service leader for the Advancement Office by interacting with constituents of all levels and assisting with donor recognition and cultivation activities.
  • Create support materials (print and digital) for stewardship.

3. Assist with annual appeals, including The TMI Fund, Giving Tuesday and EOY giving campaigns.

  • Serve as a liaison in the Advancement team for volunteers involved in the school’s parent auxiliary group, The Community Engagement Council (CEC).
  • Develop reports and collateral materials for advancement initiatives.
  • Research prospects and create briefing materials.
  • Keep detailed records in CRM (Raiser’s Edge NXT and Onecause/BidPal)
  • Support advancement events and activities during evening gatherings, including Donor Receptions, Alumni Homecoming and Stars Over TMI.
  • Answer phones and respond to donor and volunteer questions and emails.
  • Engage and support volunteers (Event Committees, CEC, Parent Cabinet, Alumni Council).
  • Provide data entry and event software support needed for event registration using the following platforms: Blackbaud, Onecause/BidPal, Google Docs and Jotforms.
  • Ensure ethical and confidential management of donations, table sponsorships, guest registration, and auction packages in Onecause/Bidpal software.
  • Manage donor recognition opportunities on campus, both committed to donors and those available for gift recognition.
  • Maintain existing and new donor signage as needed, in coordination with the Facilities team.
  • Maintain inventory of marketing and promotional materials and fulfill material requests.
  • Set up and maintain effective electronic and paper filing systems for donors.
  • Coordinate meetings, including arrangement of schedules, distribution of meeting information, and travel/venue bookings.
  • Order marketing materials and office supplies as needed in Advancement and keep the office organized and well-stocked.
  • Additional duties as assigned and assists the Director of Advancement with various projects and events.

Experience/Skills

Must have at least three (3) years of administrative experience, preferably in a non-profit or fundraising environment. Onecause/BidPal and Blackbaud software experience is strongly preferred.

1. Excellent interpersonal skills both in person and phone, with high professionalism.

2. Proficient using the latest versions of Microsoft Office and donor management software, Canva, mail merges, email, web searches and social media platforms.

3. Working knowledge of Raiser's Edge or donor management software.

4. Working knowledge of Onecause/BidPal or other special event management software.

5. Excellent communication skills, including writing, proofreading skills, and speaking.

6. Ability to manage multiple projects and work assignments from a variety of staff and volunteers, and meet deadlines with little supervision, work occasional evenings and weekends.

7. Ability to work independently, as a self-starter, and a team member

8. Attention to details and a commitment to maintain accurate, confidential records.

9. Collaborative attitude and willingness to support team members as needed.

10. Bilingual in English and Spanish is preferred.

11. The Advancement Operations Manager should have a love for fundraising, possess a strong work ethic, provide outstanding customer service, be an enthusiastic professional with an outgoing personality, and be able to build relationships with internal and external customers.

Education

Bachelor’s degree from an accredited college/university; or equivalent experience.

Physical Requirements

1. Finger Dexterity: Using fingers to make small movements such as typing or picking up small objects.

2. Talking: Frequently conveying detailed or important instructions or ideas accurately, clearly, or quickly.

3. Hearing: Able to hear average or normal conversations and receive ordinary information.

4. Repetitive Motions: Frequently and regularly using the wrists, hands, and fingers.

5. Visual: Average, ordinary, visual acuity necessary to prepare or inspect documents or other materials.

6. Physical: May be required to stand or sit for long periods of time while providing instructions or in monitoring volunteers and activities.May have to lift folders, files, papers, equipment, and other such items weighing up to approximately 25 lbs.

Work Environment

Standard office atmosphere located inside a building with no hazardous or significantly unpleasant conditions. May be exposed to outdoor elements while supporting fundraising events.

12. Willingness to participate in training and development opportunities to improve and maintain job knowledge of current research and best practices related to Advancement.

13. Ability to work a flexible schedule that may include evening and weekend assignments.

14. Attend all designated mandatory activities and graduation ceremonies.

Job Type: Full-time

Pay: $20.00 per hour
