NDC Asset Management is Hiring an Assistant Manager Near Jacksonville, FL

Position Title: Assistant Manager (Non-Exempt)

Reports To: Property Manager

PERSONAL CHARACTERISTICS:

The following attributes are desirable for job success: ability to communicate effectively, safety conscious, ability to keep documents and files such that they can be retrieved easily upon request, preference for detail work, ability to work under pressure of deadlines, self‐motivation and self‐direction, ability to work well as part of a team.

SUMMARY OF FUNCTIONS:

To perform assigned office duties required as part of day-to-day activities at TCA. Duties may include preparing weekly/monthly reports; processing receipts, invoices and payments; processing rental agreements and maintaining tenant files; and other tasks.

MAJOR DUTIES AND RESPONSIBILITIES:

Duties and responsibilities may include, but are not limited to:

Basic Functions

A. Marketing:

a. Respond effectively to telephone inquiries to generate prospective resident visits. Maintain a call to show ratio of at least 65%.

b. Show and demonstrate apartments, utilizing sales skills to demonstrate market ready product and availability to close prospects.

c. Follow‐up with prospective residents.

d. Monitor telephone and walk‐in traffic via welcome cards and traffic logs.

e. Walk model tour route and open models to ensure quality presentation.

f. Obtain lease information and complete lease applications. Conduct required credit and reference checks. Set up and maintain lease files.

g. Conduct periodic market surveys, as requested.

h. Encourage resident retention by contacting all residents on renewal report that are not currently on lease.

B. Lease Administration:

a. Perform move‐in inspections with new residents.

b. Input daily activity on daily and vacancy reports.

c. Frequently inspect buildings and grounds, record deficiencies, and take action to improve the general appearance of the property and its maintenance needs.

d. Maintain TCA records / files

C. Assist with Resident Relations:

a. Prepare and process resident service requests.

b. Assist with resolving resident problems and complaints concerning rent payments, service requests, etc.

c. Assist with preparing resident newsletters and promotional flyers

d. Assist with planning community activities and events

D. When designated in absence of the Property Manager, provide “in charge” responsibilities for the property and staff, including delegating staff for optimum performance of the entire staff.

E. In the event of an emergency, be “on call” 24 hours via cell phone

F. Work with Property Manager, Regional Manager, TCA Board of Directors and Officers, residents, outside vendors and service providers, etc.

G. Accounting policies and procedures:

a. Collect, record & deposit rental payments, application fees, security deposits, etc.

b. Maintain account records and journals and make bank deposits.

c. Help to prepare weekly and monthly reports as required.

d. Help to prepare legal action for evictions, as necessary.

e. Help to prepare vacancy reports, monthly management reports, and other reports required by NDC or the TCA Board related to activity on the property.

Knowledge, Abilities, and Other Qualities

To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. Education and/or Experience

High School Diploma (minimum)

A. Two years successful experience managing conventional rental properties, tax credit properties, and/or HUD assisted multifamily housing.

B. Good planning and organizational skills, including the ability to manage multiple tasks and complete assignments within established timeframes.

C. Strong interpersonal and communication skills and ability to work well with others.

D. Ability to work effectively in a team environment with minimal direct supervision.

E. Computer literate, with experience in windows‐based systems.

F. Ability to operate office equipment such as copier, fax, computer, typewriter, calculator, and telephone.

Demonstrated Communication

A. Oral – Ability to describe apartments, duties and responsibilities, effectively listen, ask questions, and respond appropriately to staff, residents, visitors, etc.

B. Reading – Review and understand HUD and fair housing documents, read books and manuals related to office functions, respond to written instruction from Property Manager, Regional Manager, etc.

C. Writing – Maintain required files, prepare letters, reports and memos, etc.

Physical requirements

Must be able to perform the physical functions of the position, which may include, but are not limited to: ability to walk property, including multiple flights of stairs, to complete physical inspections, deliver resident communications, and show apartments. Must be able to lift a maximum of 50 pounds to facilitate moving furniture and lifting supplies as needed.

Driving/Traveling

Must have a valid, current PA Driver’s license without restrictions beyond corrective lenses.

Must maintain a PA-registered and insured personal vehicle to allow availability for “on-call” status and occasional expedient travel to TCA at a moment’s notice.

Pay: $18.00 - $20.00 per hour
