Job Description:

The Assistant Director, University and External Events will support the Director, University and External Events on all aspects (develop, plan, and implement) of selected engagement, stewardship and public events for current and prospective donors and the community. Assistant Director will utilize digital technologies to craft effective communications that increase engagement and the University's visibility internally and externally.

Work Location: Doheny Campus (Downtown Los Angeles)

Start Date: Immediately

Salary Rate Rate: $6,060.99 monthly

Hiring salary can be above the posted pay range if candidate's qualifications are determined to be above the minimum requirements of the position description.

Duties and Responsibilities:

EVENT MARKETING/COMMUNICATIONS: 35%

  • Develops and implements a comprehensive marketing and social media strategy for events that measurably increases engagement and reach among current and prospective students, alumni, and other constituencies
  • Develops and maintains weekly and monthly social media and marketing schedules to ensure key events and dates are covered. Meet all identified deadlines
  • Designs and executes all Raiser's Edge electronic communications, event marketing and registration pages via RENXT
  • Creates high-performing event written and digital content. Designs and edits event announcements, graphics and social media
  • Supports other MSMU departments, as needed

EVENT PRODUCTION AND MANAGEMENT: 35%

  • Manages special events and public programs through the entire lifecycle: developing, planning, creative, production, content, delivery and wrap as assigned by Director and within budget guidelines
  • Supports IA fundraising team, the Center for the Advancement of Women and other departments by managing event planning meetings and site visits, including meeting scheduling, notetaking and follow-up communications
  • Researches, bids, and manages vendor relationships and payment processes
  • Recruits, supervises, and trains event volunteers; organizes workflow and job responsibilities to accomplish established objectives and delegate responsibilities
  • Works directly with campus partners such as Facilities, Campus Safety, and Catering to coordinate event logistics and problem-solve issues as they arise

EVENT DATA AND RAISER'S EDGE: 20%

  • Works with Advancement Services to ensure all event registrant data is properly coded and entered into Raiser's Edge. Processes all registrants for non-ticketed events in RE. Collaborates with Advancement Services on event mailing list criteria, queries and running of lists
  • Imports event information and monitors event pivot reports/summary in RE
  • Collaborates with the Development team to ensure the VPIA, Senior Director and Gift Officers have up to date event attendee information and reports in RE

SPECIAL PROJECTS: 10%

  • Assists Associate Vice President, External Relations/Institutional Advancement with special projects
  • Other duties as assigned

Other Duties and Responsibilities:

  • Help coordinate logistics, food, speakers, etc for special occasions
  • Perform other job-related duties as assigned

Requirements:

Knowledge:

  • Experience supporting in-person events for internal and external constituents. Background in event marketing and promotional content creation, production, and editing
  • Knowledge of graphics production and editing software; In-depth experience with Microsoft Suite, PowerPoint, and Excel
  • Knowledge of 25Live event management and Raiser's Edge database programs a plus

Education:

  • Bachelor's degree in event production and management, marketing, or communications

Experience:

  • 1-3 years of work experience in event management and/or marketing and communications, showing progressive upward movement preferred

Certifications and Licenses:

  • Must possess a valid California Class "C" driver's License

Other Requirements:

  • Ability to drive and provide transportation to off-campus locations, and to transport self and event supplies, materials, décor, etc. to event sites
