General Description:
The San Antonio Food Bank (SAFB) is looking for a highly organized Project Manager for our Programs Department. Reporting to the Chief Programs Officer, this position provides support to the internal team and manages cross-departmental projects, coordinates team grant/contract activities, process improvements, and strategic planning processes. The Project Manager will develop a breadth of knowledge to connect the dots for all program-related projects and will help ensure effective communication across our multi-team department. This position will also oversee administrative support needs that are central to the overall management and functioning of the team.
Essential Functions:
  • Plan and oversee all phases of Programs Department projects, including project planning, timeline, documentation and monitoring activities, collaborating with project team members to clarify scope, set deadlines, allocate resources, and monitor progress.
  • Oversee all phases of Programs team related Grants and Contracts processes. Coordinate with San Antonio Food Bank (SAFB) grant/contracts teams and oversee the completion of programs contributions to grant/contract applications. Monitor Programs Team related grant status, compile and track data, and complete grant reporting activities.
  • Develop and implement policies and procedures to advance equity and inclusion principles in all program design/operation.
  • Work with Chief Programs Officer (CPO)/team to build institutional knowledge, translating team knowledge into formal team processes, policies and procedures.
  • Prepare project collateral, presentations and other needed documents to communicate project progress. Create timelines, track and report on program activity, progress and create project overview documents.
  • Work with the CPO to manage annual team and project workplan process. Creating timelines, processes and procedures to ensure optimal team performance.
  • Assist CPO with management of high level administrative and strategic projects related to the long-term functioning of the Programs Team.
  • Provide administrative support and oversight related to the overall management of programs including maintaining all project documentation and database entry in an organized up-to-date manner, performing related clerical or process functions, as needed.
  • Chair or co-chair internal Programs department working groups.
  • Work with CPO/team to plan quarterly Programs Team meetings that are strategic and engaging.
  • Oversee the implementation and maintenance of team procedures and administrative systems. Serve as a key point of contact for cross-team and programmatic staff collaboration.
  • Prepare correspondence and agendas for meetings, maintain notes in an organized manner to report activity back to CPO, document key decisions and collaborate with team members to develop project collateral.
  • Assist CPO in preparation for all internal and community board meetings, working group meetings, and other meetings as needed.
  • 4 years in business operations or non-profit management focused on managing projects
  • Bachelor's degree in business, public policy or other related field; four years of work experience may be substituted, in lieu of degree
  • Advanced Excel knowledge and skills
  • Experience working in a fast-paced environment on multiple projects with tight deadlines while paying close attention to the details of all deliverables.
  • Understands and values equity as an organizational operating principle and is committed to continued learning on issues related to diversity, equity, and inclusion.
  • Knowledge of racial justice, social equity, and systemic racism; sensitivity to issues and concerns of communities of color and other diverse groups.
  • Experience communicating with senior leaders and team members internal / external to the organization while maintaining a positive customer service attitude, flexibility and poise.
  • Ability to use written and verbal communication skills to easily translate data into understandable documents, communicate complex ideas and present data.
  • Ability to work with limited supervision with high levels of initiative.
  • High level of tact and discretion and ability to handle confidential information.
  • Demonstrated ability to build relationships, influence others and offer strategic perspective.
  • Strong attention to detail, project coordination and organizational skills
  • Must be proficient in Microsoft 365 productivity applications (Word, Excel, Power Point, Outlook) and Microsoft Sharepoint.
