Two Harbors Investment Corp. is Hiring a Records Management Supervisor Near Fort Mill, SC

Position Summary
The Records Management Supervisor is responsible for overseeing all processes related to full lien releases and loan file documents including intake, identification, scanning, indexing, reporting, quality control, distribution, and secure file storage (onsite and offsite).
Primary Responsibilities
  • Supervise a team of Record Management Specialists
  • Manage lien release process to include oversight of lien release vendor, preparation of lien release documents for specified subservicing clients and resolution of lien release issues.
  • Responsible for lien release tracking and reporting to ensure state timeline requirements are met
  • Manage mailroom operations
  • Oversee all aspects of loan file documents including intake, identification, scanning, indexing, reporting, quality control, distribution and secure file storage (onsite and offsite)
  • Aid in the receiving, execution, delivery, and recording of loan modification documents
  • Facilitate the processing and movement of trailing documents with offsite imaging & storage partners
  • Coordinate the preparation, shipment, and tracking of physical loan files, and documents to destination or from point of origin
  • Research and resolve internal and external customer inquiries regarding file/document issues
  • Responsible for monitoring KPI dashboard and reporting to ensure business unit meets required SLAs, identify and correct report logic issues, create new reports as needed for business unit or specified subservicing clients
  • Responsible for reviewing, approving, or processing invoices related to business unit from third party vendors
  • Identify potential issues, concerns or trends and participate in the solution by recommending/developing new policy and procedure improvements
  • Coordinate with various internal and external business partners to ensure loan files and documents are accessible in the correct/desired format as needed for loan activities
  • Provide leadership, motivation, and development to team
  • Facilitate training, learning and knowledge events for departmental staff
  • Assist with additional projects or tasks as needed
  • Maintain professional and technical knowledge by attending educational workshops or classes; reviewing professional publications; establishing personal networks
Qualifications
  • Leadership Skills – self-starting leader with proven ability to see the vision and drive frequent and continual organizational change and improvement to accomplish world-class service and superior quality; proven ability to formulate and execute strategic and tactical organizational and operational plans to improve operational performance and support corporate goals
  • Results Oriented – track record of delivering quantifiable results to the organization (i.e. analyze opportunities/risks, develop and execute related action plans and deliver results), highly organized and disciplined
  • Operations Management Skills – proven ability to identify, collect and analyze operations performance data, market research data, and other related data to improve performance
  • Expertise at consensus and relationship building with internal and external stakeholders
  • Excellent written, presentation and oral communication skills
  • General knowledge of mortgage servicing documents and mail room operations
Required:
  • 2 years of experience in mortgage servicing or records management
  • 2 years of supervisory or management experience
  • Highschool Diploma or equivalent
  • Ability to work independently as well as cooperatively within a team environment
  • Organizational skills and attention to detail
  • Effective PC skills including intermediate to advanced Microsoft Excel, Word and Outlook
  • Excellent oral communication skills, including ability to effectively coach, motivate, and lead staff
  • Strong analytical and problem-solving skills with the ability to identify issues & concerns and participate in solutions
  • Possess exemplary customer service skills
  • Ability to effectively interact and communicate with direct reports, management, peers, and third-party service providers
Desired:
  • BA/BS degree
  • MSP loan servicing system experience/knowledge
