Description
Job Summary
The Event Operations Manager is responsible for a wide range of duties, which includes managing a team of 2-5 individuals, as well as coordinating the budget, facility logistics, awards and recognition, and the implementation plan for all meetings and events. This position will also have oversight of the daily management of our online travel booking tool.
Duties/Responsibilities:
  • Team Development and Leadership. Acts as training support for direct reports and onsite crews at events and meetings. Coaches team members on job assignments and professional development. Team is responsible for learning sessions logistics, exhibitor management, Workfront project management, online travel booking tool management, event/meeting-related contracts and related invoices and purchase orders, event photography, ground transportation, and shipping, to name a few.
  • Event Logistics. This employee will work with their team to coordinate all event/meeting facility logistics, including, but not limited to: RFP creation and distribution, site visit coordination, facility selection, catering, rooming lists, security, room assignments, hotel rooming lists, creation of and upkeep of the All Details document, onsite emergency planning, and more.
  • Awards and Recognition. Most Express events and meetings include awards and recognition. This position will manage the collection of winner data, selection and ordering of physical awards, and all associated financial reward distributions.
  • Event Implementation. In addition to attending and acting as crew for assigned events, this position will be responsible for soliciting volunteers, assigning onsite roles, and providing all required written and verbal instruction for onsite team training before the event.
Required Skills/Abilities:
  • Knowledge
    • Knowledge of hotel operations, in relation to event planning logistics
    • Leading multiple employees
    • Overall understanding of the meeting planning industry
  • Skills
    • Required software proficiencies: Microsoft Office Suite (Outlook, Excel, Word, Teams, PowerPoint)
    • Software used in position (experience preferred, but training available): Navan, Workfront, OneDrive, Adobe Acrobat DC (Pro), Sabre, TRAMs, Cvent
    • Vendor research, negotiation, and management
    • Verbal and written communication
    • Budgeting
  • Abilities
    • Works independently with constantly shifting priorities and tasks
    • Adapts to, and follows, established processes
    • Customer-service focused
    • Continuously improves team, self, and processes through innovation and education
    • Delivers excellent work by deadline, consistently
Education and Experience:
  • Required:
    • 10 years meeting planning experience of any kind
    • 5 years management experience
  • Preferred:
    • 3-5 years specifically in corporate meeting planning or hotel/convention services management
    • 7-10 years management experience
    • Holds CTS, CMP, or ARC-specialist designation (will be required to achieve at least ARC-specialist within one year of accepting position)
