Position Overview: We are seeking an experienced Office Manager to join our team and oversee the daily operations of our office. The Office Manager will play a key role in maintaining office efficiency, fostering a positive work culture, and supporting the needs of our team.

Responsibilities:

Manage day-to-day administrative tasks, including answering phones, responding to emails, and handling correspondence. Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies. Oversee facilities management, including office cleanliness, maintenance, and repairs. Assist with onboarding new employees, including preparing necessary paperwork and coordinating training sessions. Serve as the primary point of contact for vendors, building management, and other external parties. Manage office budgets and expenses, including tracking expenditures and preparing reports for management. Develop and implement office policies and procedures to ensure compliance and efficiency. Other job duties would include paperwork consisting of creating invoices, filing invoices, closing batches at the end of each day, assisting established customers with their accounts when needed, applying payments on occasion, matching company credit card purchases with the purchases on the statement.

Skills:

Person must be able to work with the public and with established customers. Person must be able to switch smoothly from one task to another frequently though out the day. Person must be able to pay attention to detail.

Work Environment:

  • Ability to sustain posture in a seated position for prolonged periods of time.
  • Regularly required to use hands to grasp or handle, talk and hear, stand and walk.
  • Specific vision abilities include close vision, depth perception and ability to adjust focus.
  • Ability to occasionally lift and/or move 40 lbs.
  • May be exposed to battery warehouse conditions such as exposure to moving equipment mechanical parts, fumes or airborne particles; toxic or caustic chemicals.
  • Prolonged use of personal computer & telephone.

Qualifications:

Bachelor's degree in business administration or related field preferred. Proven experience in an office management role, with a strong understanding of office procedures and best practices. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines. Strong interpersonal and communication skills, with the ability to interact effectively with employees at all levels of the organization. Proficiency in Microsoft Office suite and other office software applications. Experience with budget management and financial reporting. Ability to work independently with minimal supervision, as well as part of a team. Flexibility to adapt to changing priorities and responsibilities in a dynamic work environment.
