Baldwin & Shell Construction Company is Hiring an Accounting Specialist - Accounts Payable Near Little Rock, AR

Baldwin & Shell Construction Company is searching for an Accounting Specialist who will thrive in our Corporate team.
The Accounting Specialist plays a critical role for the Company. The Accounting Specialist is responsible for assuring that the invoices from our vendors match the expectations of our employees who are purchasing services from them. Many times, the Accounting Specialist has the last look at a cost before payment and must have some assurance that the cost is applicable and authorized. This position reports directly to the Accounting Manager.
Responsibilities:
  • Reconciles and processes vendor invoices and subcontractor pay apps to ensure proper coding, approval, and payment.
  • Reviews invoices/pay apps for accuracy.
  • Enters support into paperless system for Project Manager review.
  • Once approved, completes data entry into ERP for posting and payment.
  • Maintains accurate listing of vendors with appropriate payment details, Form W-9, and supporting documentation.
  • Prepares and processes payments via check and ACH as needed under payment cycle.
  • Maintains current vehicle list including vehicle registration and licensing.
  • Maintains business personal property assessment.
  • Reviews accounts payable general ledger account balances periodically.
  • Maintains paperless filing system for all job cost support, including monthly process of reconciling paperless system to job cost ledger.
  • Communicates with vendors and subcontractors regarding payment status, including reconciling vendor statements received that indicate billing discrepancies or issues.
  • Performs duties of other Accounting Specialist(s) in event of absence, etc.
  • Communicates regularly with Project Management regarding questions concerning invoices or missing requisitions.
  • Informs project management staff of subcontract discrepancies and change order billings.
Minimum Qualifications:
  • Associate degree and at least four (4) years of experience or High school diploma, or equivalent, and at least eight (8) years of experience.
  • Proficient in Microsoft Outlook, Excel, and Word.
  • Strong interpersonal, written, and verbal communications skills.
  • Must be self-driven, motivated and possess the ability to work effectively and independently.
  • Must possess strong organizational and time management skills and the ability to perform under pressure.
Preferred Qualifications:
  • Proficient in Viewpoint, Docuware and various web-based software for vendors.
  • Experience in the construction industry or experience working with vendors and subcontractors.
