Scope

The primary focus of this position is customer care. The Customer Care Specialist will strive to ensure that customers have a positive experience when they contact our company for any services. This position requires the candidate to be flexible and able to collaborate professionally with colleagues to provide a high-level of customer satisfaction. As the service scheduler, this position is responsible for all aspects of administrative support, scheduling and dispatching of field service personnel. The candidate will report to our customer service manager and will work closely with our field service manager and parts team to prioritize outstanding service work to achieve maximum productivity and customer satisfaction.

Responsibilities

The following list of responsibilities is standard but may not encompass all required customer service tasks.

· Pleasant Personality: Must be respectful, courteous, and quickly respond to customer needs while maintaining a pleasant and friendly demeanor.

· Customer Communication: Must be able to maintain clear communication with customers through various platforms including by phone, text, email, web and social media. Will be able to assist customers with most questions regarding all aspects of the customer account.

· Schedule Customer Appointments: Dispatch service technicians to perform maintenance and repairs in an efficient manner. Assist service technicians with all aspects of administrative support regarding service appointments and any follow-up visits or communications.

· Punch Clock Verification: Daily review and approval of field service technician punch clock activity.

· Order Customer Parts: Order parts and supplies as needed for follow-up service visits with the direct advice of field service and parts personnel.

· Customer Proposal Preparation: Gather and organize information provided by sales, parts, and service professionals in order to prepare and present customer proposals.

· Billing and Receivables: Invoice customer accounts for parts sales and service work. Assist controller with basic accounts receivable tasks, such as mailing account communications and accepting customer payments.

· Industry Training: Work to gain knowledge of the commercial equipment industry, manufacturers, equipment models and replacement parts in order to provide the highest quality service.

· General Office: Answering incoming phone calls and miscellaneous administrative tasks that help the team stay organized.

· Cross Training: Must cross train with coworkers and be capable of stepping into another office role when needed.
