Who are we looking for?

The Executive Assistant will play a critical role in supporting the real estate agent by managing transaction processes, coordinating schedules, and ensuring smooth operations. The ideal candidate is detail-oriented, proactive, and capable of handling multiple tasks in a fast-paced environment.

What will you do?These are the standards a well-above-average performer will maintain or exceed:

  • Provide exceptional client care throughout the buying/selling process
  • Work alongside the agent to get to the closing table
  • Detailed execution of all transaction checklists
  • Be creative in creating Social Media content
  • Obtain client reviews and testimonials

Essential duties and responsibilities

  • Assist in managing real estate transactions from contract to closing.
  • Prepare and review documents related to real estate transactions, ensuring accuracy and compliance with regulations.
  • Coordinate with buyers, sellers, attorneys, title companies, and lenders to facilitate smooth transactions.
  • Track important deadlines and ensure all parties meet them.
  • Maintain and organize client files, ensuring all information is up-to-date and easily accessible.
  • Maintain the real estate agent’s calendar, schedule appointments, and organize meetings.
  • Handle email correspondence and phone calls, providing excellent customer service to clients.
  • Assist with the creation and distribution of marketing materials, including flyers, brochures, and online listings.
  • Manage social media accounts, posting regular updates and engaging with followers.
  • Help organize open houses, client appreciation events, and other promotional activities.
  • Act as a liaison between the real estate agent and clients, providing updates and answering inquiries.
  • Ensure a high level of client satisfaction by addressing concerns promptly and professionally.
  • Assist in the preparation of client meetings and presentations.

  • Director of Operations -- daily
  • Agent Team – daily
  • Buyers/Sellers/Vendors – daily

Knowledge/Skills

  • High school diploma or equivalent;
  • Previous experience as an executive assistant, administrative assistant, or in a related role, preferably in real estate.
  • Strong knowledge of real estate transactions and documentation.
  • Excellent organizational and multitasking skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and real estate software (e.g., MLS, CRM).
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • High level of discretion and confidentiality.

Job Type: Full-time

Pay: $36,000.00 - $60,000.00 per year
