The award-winning San Angelo Museum of Fine Arts is seeking an experienced bookkeeper to be responsible for updating the museum’s financial accounts and records. The bookkeeper will be responsible for checking accounting records for accuracy, tracking invoices and payments, and maintaining and organizing a system for museum’s documents in a beautiful office environment at an institution that is a vital part of San Angelo, which boasts a vibrant arts community, an excellent quality of life, and wonderful people.
The bookkeeper is an individual with Knowledge of corporate, governmental, and public accounting principles. Experience in QuickBooks software and MS Excel. This individual is detailed-oriented and organized.
The Bookkeeper’s resume demonstrates at least two years of experience having worked in a business environment doing bookkeeping tasks. Familiarity with budgeting and technical accounting skills. Experience must be demonstrable. Demonstrates initiative, ability to plan, organize, and follow through on projects.
The Museum’s Bookkeeper has a good disposition, works well in a team, and has excellent verbal and written communication skills. The bookkeeper works in a shared office with constant traffic and interruptions. The bookkeeper is available to accommodate the Museum’s operating needs and helps advance the Museum’s mission.
The Museum Bookkeeper is capable of working with and for a diverse community and stakeholders. The Museum Bookkeeper abides by the Museum Employee Manual and Institutional Code of Ethics and Ethics Policy.
The Museum Bookkeeper works directly under the supervision of the Museum Director.
Duties and Responsibilities:
· Documenting financial transaction details and monitoring the transactions
· Preparing and filing financial documents
· Processing accounts payable and accounts receivable
· Fact-checking accounting data
· Reconciling the museum’s accounts
· Processing payroll and tracking payroll data
· Assisting with tax payments and IRS reporting obligations
· Working with staff accountants as needed
· Assesses processes and looks for effective and efficient ways to improve the Museum’s administration. Plans, develops, implements new processes.
· Must demonstrate initiative, creativity, and resourcefulness.
· Collaborates with Museum staff from various departments to fulfill assigned duties.
· Prepare financial material needed for grant applications and reporting.
· Perform all duties using sound judgment and in a manner that promotes public confidence.
· In a prompt, calm, and professional manner maintains a guest-first customer service approach, responding to visitors, service providers, Museum members, board members inquiries, quickly, resolving any concerns, using best judgment.
· Administrative responsibilities include maintaining supplies and materials for the Museum’s business office.
· Performs all activities with the Museum’s highest ethical standards.
· Regular attendance is an essential job duty for all Museum positions; including working hours that may include evenings and weekends.
· Performs all other duties as assigned.
Minimum Qualifications:
· Bachelor’s degree
· Two year of work experience using QuickBooks software
· Basic administrative skills
· Knowledge of computers and Office software
Preferred Qualifications:
· Bachelor’s degree in business, accounting, or related field
· Three years of experience working with QuickBooks
· Has demonstrable experience with payroll and benefits tracking.
