PRINCIPAL RESPONSIBILITIES:

1. Process purchase orders and maintain files.

2. Orders office supplies and furniture for agency.

3. Maintains leases for postage machine and copiers.

4. Maintains check copy files and scans them into the system.

5. Makes sure payables are processed and closed out in a timely fashion.

6. Maintains prescriptions and forms to send out to all sites.

7. Works with facilities director.

8. Maintains all bank and vehicle payments and leases.

9. Maintains and sets vendors up in the system.

10. Keys in utilities and invoices into the system.

11. Communications with vendors.

12. Keys and cutes Foster care reimbursements.

13. Retrieve files for the financial department.

14. Maintains gas receipts and reconciles the gas bills.

15. Logs in and receives delivers.

16. Archiving checks by scanning them and maintaining the folders in the computer system that stores files.

17. Attaching check copies to invoices in Great Plains system.

18. Maintain Signature page for checks that are picked up.

19. Set up and maintain Petty cash files.

20. Make sure PO are coded correctly.

21. Flip requisitions into PO’s.

22. Approve or reject all requisitions.

23. Check all checks to make sure they are correct before being mailed.

24. Process travel requests.

25. Research statements for vendors.

26. Maintain pre-paid invoice files.

27. Other duties may apply

MINIMUM QUALIFICATIONS: Graduation from high school or GED. BA Preferred. One-year experience preferred.

SPECIAL KNOWLEDGE, SKILLS AND ABILITIES: Ability to work with others in a harmoniously way. Some knowledge of accounting and book keeping skills. Detail oriented.
