Opportunity
The Administrative Assistant will support our Founder CEO, ensuring smooth management of both personal and professional tasks. In this role, you will handle travel arrangements, monitor project management software, and do lots of different tasks assigned by the Senior Executive Assistant.
Responsibilities
Book and manage travel for CEO and office of the CEO.
Manage CEO household projects and tasks.
Proactively anticipate and plan for meetings and daily needs such as coffee, meals, etc.
Run errands for CEO, CEO’s family, and the office of the CEO.
Regularly update and improve company assistant manuals and SOPs.
Act as a liaison between the CEO and all third-parties to ensure that they have what they need to guarantee productivity and support.
Provide excellent hospitality to CEO, visitors, and internal stakeholders.
Diligently provide support to the executive to guarantee they are productive, efficient, and effective, using time and resources to the fullest.
Act as a gatekeeper to minimize distractions and effectively save time.
Handle sensitive and confidential information with the utmost discretion.
Maintain a high level of professionalism and integrity in all interactions.
Conduct research and compile data to support decision-making processes.
Prepare and edit correspondence, reports, presentations, and other documents.
Prepare presentations and communications for and / or on behalf of CEO.
Coordinate with various departments to ensure project deadlines are met.
Facilitate effective communication and collaboration across the organization.
Maintain and manage projects, files, documents, and tasks for the CEO through tools like Asana, SharePoint, etc.
Keep all files and documents highly organized and easy to get to.
Maintain and update CEO preferences, workflow, contacts, etc. in key documents and software.
Do whatever needs done and assigned by the Senior Executive Assistant.
Knowledge, Skills and Abilities Required
Always proactive and driving results with the ability to be one step ahead.
Strong gift of hospitality and not prone to gossip.
Extremely fast paced while having a strong attention to detail.
Proficient with Asana, PowerPoint, Excel, and other tech tools.
Proactive, self-managed, and driven by performance.
Loyal, trustworthy, and a good culture fit acting discreet and professional.
A ton of common sense with a desire to learn and grow.
Qualifications
3 years of related work experience.
Project management driven and highly organized.
Strong research skills, utilizing AI and technology.
