Employment Type : Full Time, 40 hours/week 

Reports to: CEO 

FLSA Status: Exempt

Opportunity 

The Senior Executive Assistant is responsible for providing high-level administrative support to the Founder CEO of the organization. This role requires a proactive approach, always being one step ahead with exceptional organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The Senior Executive Assistant will also oversee other administrative staff and ensure the smooth operation of Office of the CEO. 

Responsibilities 

  • Proactively obsess with making the CEO’s life more effective, efficiently and constantly creating more time for the CEO.

  • Proactively identify and address the CEO’s needs to facilitate his daily workflow and enhance productivity.

  • Oversee the daily operations of the office of the CEO and ensure all administrative functions run smoothly.

  • Assist in the planning and execution of special projects and initiatives as directed by senior executives.

  • Clear CEO’s projects and tasks by reviewing them and determining which ones we can assign to other staff.

  • Ensure travel arrangements align with the CEO’s preferences and needs, considering factors such as timing, comfort, and convenience. 

  • Handle any changes or adjustments to travel plans promptly and efficiently. 

  • Prepare detailed travel itineraries, including relevant contact information, directions, and schedules. 

  • Stay informed about the CEO’s priorities and upcoming commitments to provide timely reminders and support. 

  • Coordinate with other team members and departments to ensure seamless communication and execution of tasks. 

  • Manage ad-hoc tasks and projects, ensuring they are completed accurately and within deadlines. 

  • Coordinate and host virtual meetings, webinars, and conference calls. 

  • Schedule and attend meetings on behalf of the CEO, taking notes and recording minutes.

  • Make guests feel welcomed in the office and at events.

  • Assist CEO with personal and business errands.

  • Represent executives and company to outside contacts with excellence through personal meetings, as well as video, phone, email, and text communications.

  • Coordinate with various departments and staff as needed by executives.

  • Act as a gatekeeper to minimize distractions and effectively save time. 

  • Handle sensitive and confidential information with the utmost discretion.

  • Maintain a high level of professionalism and integrity in all interactions.

  • Lead and mentor other administrative staff, providing guidance and support as needed.

  • Foster and maintain positive relationships with clients, partners, and team members.

  • Conduct research and compile data to support decision-making processes.

  • Prepare and edit correspondence, reports, presentations, and other documents.

  • Handle incoming and outgoing communications, including emails, phone calls, and mail. 

  • Prepare presentations and communications for and / or on behalf of CEO.

  • Coordinate with various departments to ensure project deadlines are met.

  • Facilitate effective communication and collaboration across the organization. 

  • Maintain and manage projects, files, documents, and tasks for the CEO through tools like Asana, Sharepoint, etc..

  • Maintain and update CEO preferences, workflow, contacts, etc. in key documents and software. 

  • Ensure that personal tasks and errands, such as managing personal appointments, reservations, and household management are handled efficiently and effectively around the clock (i.e. nights and weekends).

  • Represent the CEO with excellence using high level of discernment, kindness, professionalism, and common sense.

  • Extremely fast paced while having a strong attention to detail.

  • Excellent project management, time management, and organizational skills.

  • High capacity to handle a lot of activities and make appropriate decisions quickly.

  • Strong interpersonal skills and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. 

  • Excellent verbal and written communication skills.

  • Ability to receive direct instructions, including criticism with a positive attitude.

  • Strong ability to follow through, manage, and prioritize multiple projects and tasks.

  • Highly organized and efficient.

  • Ability to learn new tech, apps and systems quickly. 

  • Self-motivated, self-managed, and driven by performance. 

  • Strong emotional intelligence.

  • Ability to spin multiple plates at the same time without dropping them.

  • Able to create and maintain collegial relationships with all team members.

  • Loyal, trustworthy, and a good culture fit acting discreet and professional.

Qualifications 

  • 10 years of related work experience. 

  • Knowledge of Microsoft Office Suite a must. 

  • Knowledge of Asana, AI and other tools and apps.
