Title : Human Resources Assistant / HR Generalist

Location : Norwalk, CT

Hourly Range : $18.00 to $22.00 , Hourly Rate (Depends on Experience)

FLSA Classification : Full-Time, Non-Exempt

DESCRIPTION

Servpro of Stamford (Norwalk, CT) is seeking an HR Assistant / HR Generalist to support the human resources activities and administrative functions for staff for all HR and Payroll related matters.

This role will be responsible for assisting with administrative tasks, timecard review, payroll processing, and HR generalist functions that includes but are not limited to : Payroll Reporting, coordinating interviews, onboarding, offboarding, employee relations, training & certifications, employee records management, benefits, leave, subcontractor COI & W-9’s.

Essential Duties & Responsibilities

HR GENERALIST TASKS

  • Assist employees in answering questions relating to practices, policies, benefits and other human resource needs in a friendly and confidential manner.
  • Assist in contacting potential hires, drug testing, and background checks.
  • Assist with new employee orientation, develop and maintain personnel files, enter data into payroll platform, and assure that new hires have all of the proper I-9 documents.
  • Act as a point of contact for managers on HR issues in the absence of the HR Manager as needed.
  • Maintain, monthly, and quarterly trainings calendar new hires and current workforce.
  • Maintain training records and certifications for all employees.
  • Assist with writing up incident reports for injured employees for notice only reports to Workers Compensation Account Representative.
  • Assist with scheduling injured employees with workers compensation physician appointments.
  • Assist with enrolling all employees for Annual Harassment training.
  • Assist with scheduling employee monthly meetings, employee recognitions, new hire announcements, employee anniversary celebrations, and team building events.
  • Administer both short and long-term leaves, including the Paid Family and Medical Leave Act (PFMLA).
  • Mange Worker’s Compensation claims and OSHA reporting requirements.

ADMINISTRATIVE RESPONSIBILITIES

  • Answer incoming calls, route calls to appropriate departments or take message.
  • Back-up support to receptionist desk.
  • Manages tracking of equipment distribution of laptops, desktops, cell phones and returns, etc.
  • Maintain subcontractor COI’s and W-9’s, etc. Ensure compliance with outside auditors.

PAYROLL TASKS

  • Assist with timecard review, payroll processing, benefits, garnishments, taxes, and other deductions.
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, changes to pay rates, bonuses, and overtime are entered in payroll.
  • Tracking and managing all PTO / Sick and Vacation time.
  • Prepares and maintains accurate records of payroll reports.

RECRUITMENT COORDINATION TASKS

  • Assist with drafting job descriptions and posting open jobs on various job boards.
  • Download resumes and coordinate interviews with HR & Hiring Managers.
  • Draft offer letters, prepare onboarding packets for new hires, etc.

OTHER

Perform other duties such as assisting in HR special projects or initiatives and assignments as needed.

REQUIREMENTS, DESIRED KNOWLEDGE, AND SKILLS :

  • 2-4 years of Human Resources generalist experience.
  • PHR or SHRM-CP certification, plus.
  • 2-4 years of processing payroll.
  • Strong proficiency with Microsoft Office Suite.
  • Ability to recognize information needed to solve a problem efficiently.
  • Responds quickly and effectively to unexpected and rapidly changing conditions.
  • Attention to detail, process detailed information effectively and consistently.
  • Follow proper procedures to ensure high quality of work.
  • Bilingual Spanish

EDUCATION

  • High school diploma / GED, required
  • Associate degree in business, finance or administration, preferred

Schedule :

8 Hour Day / 40 Hours Shift (Mon-Fri), flexible to work overtime when required

Overtime Requirement :

We are a 24 / 7 Emergency Services business. You will occasionally be expected to work nights and weekends to assist our customers in their time of need during storms, cold weather, and other natural or man-made emergency situations.

Environment : This position will be in-office environment; not eligible for hybrid or remote.

Physical Demands :

Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Light work that includes moving objects up to 20 pounds may be required.
