Winters Electric is Hiring an Office Assistant Near Medford, OR

We are a growing electrical company seeking a highly organized and detail-oriented individual to join our team as an Office Assistant. In this role, you will provide crucial support to our operations by helping assist in various administrative tasks, payroll, accounts receivable, and miscellaneous duties as needed.

Responsibilities:

  • Administrative Support: Perform general administrative duties such as managing emails, answering phone calls, and handling correspondence. Assist with filing, preparing reports, and other documentation as required.
  • HR Support: Process employee time records and ensure accurate calculation of wages and salaries. Maintain payroll records. Onboard new employees; prepare, distribute, and maintain HR records and documentation.
  • Accounts Receivable: Generate and send customer invoices in a timely manner. Monitor customer accounts to ensure timely and accurate payment. Follow up on outstanding payments and resolve any billing issues or disputes.
  • Customer Service: Provide excellent customer service by addressing customer inquiries, resolving complaints, and ensuring customer satisfaction. Maintain strong relationships with customers and vendors.

Requirements:

  • Education: High school diploma or equivalent. Additional education in office administration or a related field is highly desirable.
  • Experience: Proven experience in an administrative or back-office role is preferred. Familiarity with payroll processing, human resources, and accounts receivable is highly desirable.
  • Construction Knowledge: Familiarity with construction terminology, processes, and project coordination is highly desirable.
  • Computer Skills: Proficient in using Microsoft Office or GoogleSuite. Experience with payroll software, accounting software, and/or construction management software is a plus.
  • Organizational Skills: Strong organizational and time management skills. Ability to prioritize tasks and meet deadlines.
  • Communication Skills: Excellent verbal and written communication skills. Ability to effectively interact with customers, suppliers, contractors, and internal teams.
  • Attention to Detail: Strong attention to detail and accuracy. Ability to identify errors and take corrective actions.
  • Problem-Solving: Strong problem-solving skills and the ability to find practical solutions. Ability to handle multiple tasks simultaneously and adapt to changing priorities.
  • Teamwork: Collaborative mindset with the ability to work effectively as part of a team. Willingness to support colleagues and contribute to a positive work environment.

Position Details:

  • Hours: Monday - Friday, 8:30am - 5pm
  • Wages: Negotiable, depending on experience
