Bhojani Law, PLLC - a growing law firm and title company - is searching for an experienced Executive and Administrative Assistant to join our team to act as the Assistant for our company and to manage day to day administrative tasks for our office.

The ideal candidate will be able to perform the job as Executive Assistant to the CEO and Administrative Assistant for our law firm, title company and investment division by managing the day to day administrative tasks of a busy office. The ideal candidate will be highly self-motivated, professional, willing to be flexible and perform a wide variety of tasks with a positive attitude.

Responsibilities will include:

  • Promptly and professionally answer calls from title, investment and legal clients and direct them to the appropriate staff member or otherwise address their needs.

  • General administrative tasks for the office, such as ordering and maintaining office supplies, scheduling appointments, greeting clients, and other clerical or administrative tasks as assigned
  • Assist in collecting law firm receivables from clients, including email and call reminders for pending bills.
  • Coordinate company communications, including taking calls, responding to emails and interfacing with clients
  • Schedule meetings and appointments
  • Develop and sustain a level of professionalism among staff and clientele
  • May need to drive to drop or pick documents from clients
  • Manage and maintain the executive's calendar and emails on a regular basis
  • Working with financial documents for various businesses
  • Bookkeeping for partners various businesses and investments
  • Executing any day-to-day personal tasks for the principal and family

Required skills:

  • Minimum of 3 year of experience as an receptionist and/or administrative assistant.
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
  • Minimum of 1 year of Bookkeeping experience
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Exceptional interpersonal skills
  • Friendly and professional demeanor
