ProValue Insurance is Hiring a Payroll Accountant Near Hutchinson, KS

A Day in the Life:

As the Payroll Accountant for ProValue Insurance, you will be responsible for the multi-state payroll processing and related reporting for ProValue Cooperative, Inc., ProValue Insurance, LLC, Ag Services, LLC, Agri-Business Benefit Group, and the Kansas Cooperative Council. The position will also be responsible for deductions, payroll account reconciliations, employee files, and other payroll related duties that may be assigned. This position will be expected to have knowledge of S125 plans, 401(k) plans, IRS withholding rules, and IRS/State required reporting.

This position is task oriented in nature and includes the following:

  • Accurately process all payrolls (bi-weekly, semi-monthly, and monthly).
  • Payroll processing includes the following: 
  • Reviewing all leave requests and timesheets for approval and processing. 
  • Following payroll processing procedures in the payroll system (Paycom) to assure complete and accurate detail prior to submission. 
  • Creating data sets when applicable for commission payrolls.
  • Running payroll comparisons checking for variances prior to submitting payroll.
  • Initiating ACH/direct deposits, wires, and 401k ACH funds to appropriate financial institutions.
  • Obtaining reports from payroll system (Paycom) when completed.
  • Submitting information for flex accounts and health savings accounts.
  • Submitting check request for garnishments.
  • Completing appropriate Journal Entries for each company in appropriate accounting software.
  • Process any extra or supplemental payrolls when required.
  • Review and monitor the quarterly payroll reporting by Paycom for accurate completion and timely filing. 
  • Reconcile all payroll and benefits liability and expense general ledger accounts.
  • Extract invoices from benefits platforms, review, and submit to accounting for payment.
  • Annual payroll reporting: Review W2 and ACA reporting from Paycom for accuracy and timely completion. 
  • Year-end processes include:
  • Preparing 401k and pension census reports as required for discrimination testing.
  • Year-end true up of fringe benefits: personal auto and group term life.
  • Accruals for vacation and other various year end accounting entries.
  • Reconciliations and paperwork for auditors.
  • Maintain payroll, benefit and employment verification documents including I9 requirements as needed for each company. 
  • Onboarding new hires with the payroll system (tax documents, direct deposit, etc.)
  • Process terminations verifying last payroll, benefits, vacation, and final taxable fringe.
  • Stay current on payroll related regulations/rules. (i.e., IRS withholding, W2 reporting, tax forms, FMLA, etc.). Guidance will be provided by the CFO and/or HR Professional regarding certain benefits (i.e., S125, 401k, etc.), but position is expected to have a “working knowledge” in this area.
  • Document and update payroll procedures as needed.
  • Quarterly review of all personal auto allowances and adjust estimates as needed.
  • If time allows this position will learn to extract reports from the group benefits platform and perform accounting functions for group benefits invoicing. This information is confidential in nature for our customers along with our internal employee groups. 

How You Will Spend Your Time:

  1. Accurate processing of recurring payrolls (50% of time).
  2. Reconciling and verifying that all required payroll reports are accurate and complete; 941, 940, W2, etc. (25% of time).
  3. Accounting responsibilities associated with payroll (20% of time).
  4. Timely and accurate maintenance of personnel documents (5% of time).

Immediately you will spend time learning the internal payroll processes for ProValue and related companies. Other accounting duties will be added as time allows.

What You will Need to Do This Job:

  • A bachelor’s degree in accounting or related field and two to four years of payroll experience is preferred.
  • Preference will be given to FPC and CPP designations and/or an accounting degree.
  • Work requires professional written and verbal communication and interpersonal skills.
  • Confidentiality is an absolute requirement.
  • High level of organization and attention to detail.
  • Ability to thrive in a task-oriented environment with strict deadlines.
  • Technically competent with payroll software programs, other accounting programs, and the Microsoft office suite (Excel, Word).
  • Experience working both independently and in a team-oriented, collaborative environment is essential.
  • Must be adept at conforming to shifting priorities, demands and timelines through analytical and problem-solving capabilities.
  • Flexible during times of change.
  • The ability to work beyond an 8-hour day and/or 40-hour workweek may be required at times.
  • Ability to plan vacations and other planned leave times around the timing of payroll processing duties.
  • This position generally works in an office environment but is occasionally exposed to outdoor conditions or other locations. Extended periods of sitting, standing and computer work are required. The ability to speak, hear, and type is also required. You will regularly lift twenty pounds or less.
  • This position will also require you to perform other duties as assigned by management.
