• Maintain customers' accounts receivable. 

• Post cash receipts to individual customer accounts.

• Process, review and distribute customer account statements.

• Assess the need for credit/rebills and enter on Baan system when approved by sales and/or shipping.

• Monitor returned goods sales orders.

• Maintain and distribute credit report log on a weekly basis.

• Use bank to obtain cash receipt information. Prepare mail in deposit for checks received in house. 

• Sort & record daily deposits and enter them in Excel checkbook spreadsheet.

• Process credit card transaction payments and run the end of day settlement and reconcile.

• Reconcile the sales commission account.

• Make customer reminder, collection and follow-up calls. Negotiate payment schedules where necessary.

• Respond to internal customer and external customer requests for invoice copies and proof of delivery.

• File bankruptcy claims and monitor/prepare letter of credit documents when necessary.

• Analyze new customer credit information and assess risk.

• Complete customer credit reference requests.

• Generate and distribute invoices and invoicing reports.

• Sort invoices, preparing them to mail and fax to customers.

• Enter EDI invoices on a daily basis.

• Analyze receivables and customer payment performance and report to management as requested.

• Generate Baan period end reports. Use data for reporting purposes.

• Prepare accounts receivable related year end audit workpapers.

• Use check signer to sign accounts payable checks. Use signature stamp to sign Express payroll checks.

Skills and qualifications required:

• Must have a high school diploma or equivalent, business and accounting courses are preferred.
• Must have 1-year accounting experience and an understanding of basic, functional debit/credit accounting.
• Must be able to communicate effectively with internal and external customers including management.
• Must be able to meet regular deadlines.
