Carbon Valley Academy is Hiring an Office Manager/Administrative Assistant Near Frederick, CO

Carbon Valley Academy K-8 is searching for a school office manager/administrative assistant. The person for this position is responsible for coordination of all human resources, business and finance activities at Carbon Valley Academy. The position works directly with the CVA K-8 BOARD and the school principal on all human resources and finance operations of the school and provides transactional and analytical support for all related activities. The school office manager/administrative assistant generates all the school’s accounts receivables and payable packs to be deliver to the school's financial accountant, and assists in the general operations of the school in all business areas. The school office manager/administrative assistant aids in and supports family outreach and customer service.

Office Manager/Administrative Assistant essential responsibilities include, but are not limited to:

  • HUMAN RESOURCES AND BENEFITS
  • Maintain employee personnel files (digital and hard copy) with full confidentiality as appropriate and required by law
  • Update yearly contracts for employees and new hires throughout school year
  • Process new employee onboarding
  • Manage the administration of employee benefits, including reports associated with HR/tax reports
  • FINANCE
  • Budget creation and submittal to operating school district
  • Assist with audits, including Annual School Year Finance as well as CDE40 Transportation audits
  • Monthly finance meeting with principal and accountant
  • Quarterly District-Charter meetings
  • Attend monthly board meetings
  • PAYROLL
  • Process payroll and associated reports; communicate all applicable detail with accountant
  • Maintain record of personal time off for all staff
  • ACCOUNTS PAYABLE AND RECEIVABLES
  • Maintain contracts for all vendors
  • Manage vendor-customer relationships and payments
  • Handle daily finance transactions for school activities
  • Schoolwide ordering
  • Weekly bank deposits
  • Monthly breakdown of receipts prepared for accountant
  • Coordinate calendar of events and building usage
  • Handle various administrative tasks in a timely manner
  • Collaborate with Front Office Team and maintain the teammate role
  • Receptive to receiving coaching on a regular basis with administrators
  • Maintain a positive, accepting attitude in working with students, parents and vendors
  • Perform any other related duties as assigned by the Principal or other appropriate administrator
  • Model nondiscriminatory practices in all activities

Other Duties:

1. Attend all Professional Development Days and staff meetings

2. Consistently implement professional learning within all business practices and work to strive toward the school vision throughout everything they do

3. Participate in various student and parent activities which occur in school, including night time and possible weekend events, student clubs and after-school activities

Office Manager/Administrative Assistant requirements:

  • Possess a minimum AA degree in a related field, or equivalent
  • Have a minimum of 3-5 years office management experience, school setting preferred
  • Possess thorough knowledge of school policies and procedures
  • Posses the initiative to make appropriate decisions regarding operating procedures and judgements without administrative input, as needed
  • SHRM or HRCI certifications, preferred
  • Meticulous attention to detail
  • Strong time management and organizational skills with an ability to prioritize work
  • Excellent communication skills, both oral and written
  • Operate smoothly and effectively under pressure
  • Excellent computer skills (Google, Excel, Infinite Campus, SDS and other various online databases)
  • Familiarity with HR best practices
  • Excellent analytical skills and experience creating reports and presentations
  • Possess critical thinking and problem-solving with confidence in a collaborative environment
  • Has leadership skills and a positive attitude when assisting with decision making
  • Demonstrated professionalism and dedication to continuous improvement

Employment Schedule: 12 months, full-time salaried exempt employee

Salary Range: $45-60k per year, based on experience
