Job Summary: We are looking for an experienced, highly organized, and detail-oriented Administrative Coordinator to provide administrative support to our organization’s leadership. The ideal candidate will have a welcoming attitude, exceptional organizational and communication skills, the ability to handle confidential information with discretion, and a proactive approach to problem-solving.

Responsibilities:

  • Perform front desk receptionist duties by greeting customers in a professional manner and professionally administer all incoming calls.
  • Manage a variety of daily, monthly, and annual administrative responsibilities, encompassing tasks such as scholarship administration, reconciling accounts, membership database, providing support during audits, and facilitating the setup of employee workstations.
  • Lead for Inventory Form Orders and Management.
  • Perform routine office functions such as copying, faxing, sorting incoming mail, drafting correspondence, screening phone calls, maintaining executive files, and coordinating the payment of invoices.
  • Receive, sort, and distribute mail and packages to appropriate recipients.
  • Perform general office tasks such as filing, data entry, and office organization and maintenance.
  • Manage executives' calendars, appointments, and travel arrangements.
  • Coordinate and schedule meetings, both internal and external, ensuring all necessary materials are prepared.
  • Assist with coordination of company annual events.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Manage special projects for the President/CEO.
  • Additional duties as assigned.

Qualifications:

  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to work independently and collaboratively in a team environment.
  • High level of discretion and confidentiality.
  • Must have valid driver’s license with a driving record insurable by the company.
  • Prefer 2 years’ experience as a Receptionist/Administrative Assistant or similar position.
