Fanwood Presbyterian Church is Hiring an Office Administrator Near Fanwood, NJ

This is a 20 hour a week position. The right person will be friendly, organized, knowledgeable of Google Suite, Canva (or similar program), Microsoft Word and Excel and a good communicator. They will be responsible for social media, the church website, the church calendar, room rentals, tenant and vendor liaisons, staff and member support when called upon and more. See the attached job description for specifics (and please do not be intimidated as a lot of the work is only once a week, once a month or even more occasiona.) We have another staff member in charge of weekly bulletins, power points, website and social media so that will not be expected.

Church Administrator Job Description – (Time frequency in BOLD.)

Secretarial/ Administrative/ Communications:

- Update Website a couple of times a week

- Create attractive graphic posts for social media, mailchimp, bulletins, slides and fanfare (Almost daily)

-Coordinate the Mail Chimp, inputting content from others, writing your own and e-mailing it to the congregational e-list (congregation@fanwoodpc.org)

- Compile and print bulletin including weekly schedule, current prayer list, relevant announcements and inserts. Proof and finalize bulletins with the Pastor. (Weekly)

- Coordinate service information with guest preachers/ organists in the absence of the pastor/ music director. (Occasionally)

- Prepare and print bulletins for special services i.e. Christmas Eve (2), Ash Wednesday, Maundy Thursday, Good Friday, Weddings and Memorial Services (As needed)

- Create a few “large print” bulletins for each service. (Weekly)

- Print children’s bulletins as it pertains to all services. (Weekly or as appropriate, depending on pastor and C.E.)

- Input ppt. texts (including scriptures and music lyrics) and backgrounds for all services (Weekly)

- Make movies. (Shorts and reels Youtube, Meta or Instagram requested by pastor (2-3 times a year)

-Update all announcements, weekly schedules and prayer lists as part of preparing service bulletin and social media publicity. (Weekly)

- Upload bulletin to the website homepage. Fold bulletins, if necessary, when the volunteer bulletin folding team cannot. (Weekly)

- Upload final ppt to balcony computer 'Power Point' folder in C:, labelled the DATE and FINAL (Weekly)

- Upload link from Facebook or Youtube livestream to the website with sermon title and starting time in the video. Choose the right thumbnail picture for the Youtube and Facebook livestream. (Weekly)

- Print and prepare for Deacons the sermons, bulletins etc. for visits and mailings (Weekly)

- Prepare and print large print projects i.e. Annual Report(s), Church Directory (2 times a year)

- Print and make copies of the Fanfare (Every other month)

- Print mailing labels for sermons and Fanfare (Weekly)

- Notify volunteers when all items are ready for folding, printing and mailing (As needed)

(sermons, bulletins, Fanfare etc.)

  • Serve as church office contact and resource person for visitors and congregation, including at least 2 days a week in the office. (Weekly)
  • Answer phones, follow through with requests, convey relevant information to staff and church leaders, process voicemail messages and church e-mails. (Many times a week)
  • Manage church office calendar and synchronize with web calendar. (Many times a week)
  • Manage Church calendar, coordinating events and activities from church, preschool, outside groups such as scouts and renters. (Weekly)

Other Communication Responsibilities:

  • Post relevant door signs and notices as needed including State/Fed Work posters

(Occasionally)

  • Order office and building maintenance supplies as needed (Occasionally)
  • Go to the Post Office to mail everything other than sermons and Fanfare. Pick up and distribute mail from the Post Office at least 2 times a week. (Weekly)

Groups and Organization(s):

  • Coordinate room usage for congregational activities, outside groups and preschool.(Weekly)
  • Outside Organizations (Monthly) o Discuss and negotiate rental costs with pastor, bill and collect fees, signed contracts, and certificates of insurance. o Reserve room space, manage room set-ups, and add events to the church calendar. o For larger or longer term events seek the authorization of the Church’s Rental committee, trustees and session.
  • Tenant Liaison -- rooms, helping with issues, contacting the Trustee President or Pastor

David if help is needed in town and you are not in the office. (Weekly/Bi-weekly)

  • Internal organizations (Monthly) o Work with staff and committee chairs for events when requested, scheduling rooms and set up/ break down, as well as collecting donations and fees when required.
  • Keeping the office and desktop neat, clean and organized. (Weekly)

Outside Vendors

  • Negotiate and arrange purchase or lease of office equipment (w/ approval of the Trustee president)
  • Facilitate the completion of various forms, tax exempt requests, insurance information forms, and equipment rental (Monthly)
  • Maintain up-to-date church directory.

- Maintain an up-to-date contact list for outside groups using our buildings. (As needed)

- Purchase office supplies and sundry items as needed. ldings and their uses with the city regulations)

- Keep organized records and manage deadlines (As needed)

- Maintain confidentiality in sensitive matters. (As needed)

- Maintain a professional appearance and work area. (Daily)

Trustee-related:

  • Routinely inspect the facility to ensure that it is clean and in good working order for use. (Daily)
  • Contact vendors or repair persons (as required) through Property Management Company and notify Session about any situation requiring immediate and substantive attention. (As needed)
  • Follow up regularly on the status of repairs and maintenance until they have been completed. (As needed)
  • Coordinate room set up/clean up before and after group meetings and events (As needed)
  • Maintain working relationships with church vendors, service providers and insurance providers. (As needed)

Job Type: Part-time

Pay: $22.00 - $25.00 per hour
