Title: Administrative Secretary, 12 month positionReports to: Building Principal or DesigneeClassification Benefit Schedule A or BResponsibilities:To support staff, family, student, and community communication; maintain student and financial record; general administrative assistant; and building registrar responsibilities. Duties performed are designated to relieve administrators of office and routine responsibilities by organizing and participating in the school office administrative operation.Essential Functions: Establishes, maintains and ensures proper use of confidential files, including electronic information, which may include student, personnel and payroll records Performs a wide variety of clerical and secretarial work, including typing, computer entry, proofreading, filing, checking and recording information Maintains and retrieves financial records, such as school budget, student activity accounts or other school accounts, if requested Processes attendance/payroll for the building staff and supports building administration in arranging substitute for absent employeesPrepares purchase orders, facilities usage forms, and various operational forms Monitors and appropriate supply levels Dispenses pertinent information and direction to students, parents, staff and visitors via elecComposes independently or in accordance with general instruction, correspondence on a wide range of subjects requiring a knowledge of procedures and policies of the school, district and assigned area Exercises diplomacy and confidentiality in answering questions and resolves situations involving students, parents, public, district personnel through knowledge of school policies and general district rules and regulations Responsible for student registration and transfers as well as maintaining building level student data Supports building administration by knowing and following emergency and safety proceduresAbility to: Perform a variety of secretarial work involving use of accuracy and speed Independently multi-task and problem-solveMaintain confidentiality and ethical behavior Maintain a professional demeanor at all times Understand and carry out oral and written instruction, set up and maintain filing systemsAccurately and appropriately maintains school financial and student data records Complete any general administrative support duty as required by administrators Communicate professionally via, telephone, email and onsite visits Prepare and maintain various reports and correspondence using Microsoft programs Knowledge of: • Correct English usage, spelling, grammar and punctuation • Strong written and verbal communication skills • Office methods, procedures, equipment, and software
