The Office Administrator at an HVAC company plays a crucial role in ensuring the smooth operation of the office and supporting the administrative needs of the team. This position involves a variety of tasks including managing communications, maintaining records, coordinating schedules, and providing excellent customer service.

Key Responsibilities:

  • Administrative Support:
  • Manage office operations including ordering supplies and maintaining office equipment.
  • Prepare and process documents, reports, and invoices.
  • Organize and maintain physical and digital files and records.
  • Customer Service:
  • Answer and direct phone calls and emails from customers.
  • Schedule service appointments and dispatch HVAC technicians.
  • Scheduling and Coordination:
  • Coordinate technician schedules and ensure timely service delivery.
  • Manage the calendar for the office and key personnel.
  • Assist in planning and organizing company events and meetings.
  • Financial Tasks:
  • Assist with accounts payable and receivable.
  • Process payments, track expenses, and reconcile accounts.
  • Communication:
  • Serve as a liaison between customers, technicians, and management.
  • Prepare and distribute internal and external communications, such as memos, emails, and newsletters.
  • Office Management:
  • Ensure the office environment is clean, organized, and conducive to productivity.
  • Implement and maintain office policies and procedures.
  • Manage office logistics and ensure compliance with health and safety regulations.

Qualifications:

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience as an office administrator, office assistant, or relevant role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management software.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Basic understanding of financial principles and bookkeeping.

Preferred Skills:

  • Experience in the HVAC or construction industry.
