Essential Duties and Responsibilities

• Ensure timely and accurate recording of client payments and process approved credits.
• Create sales invoices in the accounting system.
• Scan daily checks and deposit.
• Communicate with vendors over outstanding items.
• Maintain current tax-exempt certificates for all tax-exempt customers.
• Manage department email box and direct invoices received to the appropriate destination.
• Data entry of vendor invoices. Working closely with internal teams to ensure purchase orders are approved, vendor invoices are received and entered into the accounting system.
• Review vendor statements and resolve issues with missing invoices.
• Manage vendor W9 forms.
• Work on month end inventory spreadsheets to calculate raw materials, work in process, and ending inventory values.
• Reconcile credit cards. Communicate with card holders to resolve discrepancies.
• Book the intercompany loan transfers in the accounting system. Maintain the intercompany loan transfer list.
• Write paper checks and book the check transactions in the accounting system.
• Filing the annual business licenses.
• Sort Daily Mails.
• File paper accounting documents.
• Maintain high levels of organization and attention to detail.
• Assist with other departmental duties and projects as needed.

Qualifications:

• Have a 2-year to 4-year accounting degree or equivalent 3 years of accounting/business experience.
• Proficiency with QuickBooks, Microsoft Excel, and word.
• Strong sense of urgency and attention to detail; ability to meet deadlines while maintaining accuracy.
• Ability to work independently in a fast-paced environment and handle multiple priorities.
