The City of Avondale has an opportunity for a Grants Coordinator with the Finance and Budget Department. This is a FLSA exempt, full-time position with benefits.
Hiring Range: $83,045.00 - $103,806.00
Salary range is the entire compensation range for the position classification.

This position coordinates grants throughout the City. This position works with the various departments of the City to identify grant opportunities that are aligned with the City’s mission and goals, coordinates the application for grants, facilitates the acceptance of the grant awards, monitors compliance with grant rules, completes grant requirements, and coordinates the closing the grants. This position coordinates or is responsible for the entire grant lifecycle for the City. Plans, organizes, and manages the grants administration program throughout the City.Researches and finds available grant opportunities from federal, state, tribal, and private agencies that may benefit the City.
Ensures the City maintains active registrations with the federal government and serves as administrator for grant-related portals.
Coordinates grant applications with the appropriate departments, including City Management and Finance and Budget to ensure the grant is aligned with the City’s budget and strategic plan.
Supports departments with completing and filing grant applications and proposals.
Facilitates the acceptance of grant awards, including council reports (if necessary), establishing accounts for budgeting, reporting, and communication purposes.
Provides oversight to ensure all required grant reports are prepared and submitted accurately and on time. This includes program reporting and financial reporting.
Coordinates grant billing requests with the departments and accounting.
Monitors the complete life cycle for all grants received and ensures grants are closed properly.
Communicates with federal, state, local, and tribal agencies regarding grant requirements, financial and programmatic amendments, project challenges, closeouts, etc.
Assists accounting with the development of the Statement of Expenditure of Federal Awards (SEFA) and participates in the annual audit of the SEFA. Participates in responding to any audit findings and ensures all requirements are followed.
Establishes administrative procedures and controls for acquiring and implementing grant funding; tracks spending to ensure contract compliance and departmental accountability. Makes presentations to City Management and City Council on grant issues.
Leads or participates in other projects as assigned by management. Stays up to date on best practices for grant application and management.Bachelor's Degree in Finance, Accounting, Business Administration, Public Administration, or a closely related field.
An equivalent combination of experience, education, and technical training which provides the required knowledge, skills, and abilities, may qualify.
Five (5) years of experience in grant writing, development, administration, project development, or a related field.
Possession of current Grants Professional Credential from Grant Professional Certification Institute is highly desirable.Work requires the ability to read various documents and memos from other departments, inter-agencies, and vendors. Also, the ability to interpret grant booklets and applications, requests for proposals, policies and procedures manuals, articles, and legislation documents.
College-level math and statistics, including addition, subtraction, multiplication, division, percentages, financial formulas, statistical calculations, and projections.
Work requires the ability to write documents, i.e., letters, proposals, Council agenda items, and grant reports, and prepare financial documents and other related business documents.
Work independently with minimal supervision. Establish and maintain effective working relationships with City management, City Council, government agencies, grant funding agencies, non-profit agencies, private companies, legislators, and the general public.
Conduct research, analyze findings, and prepare and present clear and precise recommendations and reports. Ability to organize and integrate multiple data sources and complex materials and assist others in developing compliance systems.
Collaborate and coordinate the work of others. Exercise discretion and judgment in dealing with complex, sensitive issues in public forums.
This position has a contact within and outside the organization including municipalities and government agencies for grant funding. Internal contacts may involve similar work units or departments within the City, which may be involved in decision-making or providing approval for purchases and projects. Vendors and suppliers may also be called upon for information on purchases, supplies, or products. Working with the public and citizens may also be required. Employees must maintain regular work hours. Ability to work in a constant state of alertness and safe manner.
