Qualifications
•Associate degree or 2 years office experience
•Destin, FL 32541: Relocate before starting work (Required)
•Proficiency in QuickBooks or Accounting systems preferred- or must be willing to learn
•Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
•Individuals with experience in customer service, office administration, or front desk/reception would be a good fit for this role
Responsibilities
•As a Front Office Associate, you are the friendly first point of contact for our customers
•Through phone, email, and face-to-face interactions, you’ll support our customers by addressing their questions and concerns
•You will manage projects from an administrative position- including setting client appointments, updating customer files for accuracy, and managing the billing process
•Communicate and prepare documents for City/County officials and HOA committees
•Prepare sealed drawings for clients & builders
•Assist with the recruitment process by posting job openings and scheduling interviews
•Maintain employee records- including timesheets
•Coordinate employee training sessions and participate in monthly staff meetings
•Invoicing, billing, accounts receivable/payable, and prepare financial reports as needed
•Ensure office policies and procedures are followed
•Maintain a clean and organized office environment
•Prepare bank deposits and bank statement reconciliations
•Prepare checks for monthly office expenses
•Process mail
•Assist with updating website and social media pages
•Handle any other administrative tasks as assigned
•This position also holds a lot of responsibility as a personal assistant. This can include managing the principles emails, appointments, and other personal tasks.
