MANAGEMENT ASSISTANT
General Purpose:
Performs a wide variety of administrative work, including but not limited to customer service, billing for services, owner changes, sewer permits, work orders, deposits, lab billing, payroll and accounts payable.
Supervision Received:
Works under the direction of the Office Manager.
Essential Duties and Responsibilities:
Provides assistance to the Office Manager in the accounts payable department by entering invoices, printing and mailing checks, and filing.
Provides assistance to the Office Manager in the HR department by typing application form and job descriptions, receiving applications, setting up interviews, assisting with background checks.
Does the billing for lab clients and assists the Office Manager in preparing lab results.
Provides assistance in the front office with customer service, phones, work orders, and mailing the bills.
Updates map and files new home permits.
Order and keep track of office supplies.
Prepares bank deposits as necessary.
Assists in serving 48-hour disconnect notices, information door hangers, and yellow disconnected signs.
Other duties as assigned.
Desired Minimum Qualifications:
Education and Experience:
High School Diploma or GED, valid Arizona Drivers License with proof of a satisfactory driving record. Any combination of training or experience ,which demonstrates the potential ability to perform the duties of the position.
Necessary Knowledge, Skills and Abilities:
Knowledge of principles, methods and practices of accounting and financial record keeping.
Knowledge of data processing methods, equipment and principles, including applications and uses of software packages.
Ability to communicate with others, both verbally and in writing.
Ability to establish and maintain effective working relationships with employees, officials and the general public.
Ability to prepare, if necessary, comprehensive and concise written reports.
Special Requirements:
Arizona driver’s license and satisfactory driving record.
Tools and Equipment Used:
Computers, calculator, telephone, copy machine, fax machine, postage meter, and motor vehicle.
